Key Responsibilities
- Calendar & Meeting Management
- Coordinate complex calendars across five executives, including scheduling meetings, managing conflicts, and ensuring timely follow-ups.
- Organize internal and external meetings, including logistics, agendas, and materials.
- Prepare executives for meetings with briefing documents and background research.
- Communication & Correspondence
- Serve as a gatekeeper and liaison between executives and internal/external stakeholders.
- Draft, proofread, and manage email correspondence and other communications.
- Maintain confidentiality and handle sensitive information with discretion.
- Travel & Expense Coordination
- Arrange travel, including itineraries, accommodations, and transportation.
- Process expense reports and reimbursements accurately and promptly.
- Project & Task Support
- Assist with special projects, presentations, and reports as needed.
- Track action items and ensure timely completion of tasks across executives.
- Office & Team Support
- Coordinate with other administrative staff to ensure smooth operations.
- Support team events, off-sites, and leadership communications.
