The HT Group is partnering with a well-known, reputable law firm in search of a highly organized and detail-oriented Executive Assistant to support multiple Attorneys. This role involves calendar management, document preparation, word processing, database management, communication coordination, and ensuring smooth daily operations. Responsibilities may vary based on the specific needs of the assigned Attorneys. This is the perfect role for a high-level support professional who has excellent writing/proofreading skills, technical proficiency, and the ability to proactively anticipate needs. Responsibilities
- Provide high-level administrative assistance to multiple Attorneys
- Manage complex calendars, schedule meetings, and coordinate conference calls
- Handle phone communications and act as a liaison between Attorneys and clients
- Enter time for Attorneys using the firm’s timekeeping system
- Prepare and process expense reports, including reimbursement tracking
- Assist with creating and editing PowerPoint presentations and other professional documents
- Maintain and organize reading and working files for Attorneys
- Arrange travel accommodations and restaurant reservations
- Support event coordination and logistics as needed
- Manage courier services and mail deliveries
- Perform word processing tasks, including drafting, proofreading, and editing documents
- Maintain a high level of confidentiality and discretion at all times
- Welcome guests and direct them to appropriate meeting rooms
- Accept and manage incoming deliveries
Qualifications
- 5+ years of high-level executive support experience, preferably in a professional services or legal environment
- Strong word processing skills (writing, proofreading, drafting, editing, etc.)
- Strong technical proficiency (Word, Excel, PowerPoint)
- Excellent telephone etiquette and interpersonal skills
- Detail-oriented with excellent accuracy and organizational skills
- Ability to multitask and manage shifting priorities efficiently
- Self-starter with the ability to work independently and collaboratively
- Team-focused, professional, and adaptable in a fast-paced environment
