Responsibilities
- Executive Support — Completes a broad variety of administrative tasks for both the CFO and VP-GO&P including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Provides a bridge for smooth communication between the CFO, VP-GO&P and other senior leaders, demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Works closely and effectively with the CFO and VP-GO&P to keep well informed of upcoming commitments and responsibilities, following up appropriately.
- Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CFO and VP-GO&P, some of which may have organizational impact.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CFO's and VP-GO&P's ability to effectively lead the company.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
- Assists in preparing general, statistical, and presentation correspondence; proofs requests, and organizes project, documentation, and filing needs for the Executives.
- Manages documentation and other confidential matters.
- Provides back-up assistance for the administrative team as needed.
Board Support and Liaison
- Maintains discretion and confidentiality in relationships with all board members.
- Adheres to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
Qualifications
- Associate's degree required, with Bachelor's degree preferred.
- Minimum 8 years of experience supporting senior executives, with at least 3 years supporting C-Suite leaders preferred.
- Experience and interest in internal and external communications.
- Proficient in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, SharePoint, Teams and Forms), Adobe Acrobat, and Social Media web platforms.
- Strong organizational, time management, and problem-solving skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail, accuracy, and confidentiality.
- Demonstrated willingness to support the needs of the greater team, beyond just their C-suite partners.
