Job Description
SALARY: $66,855 - $69,555 annually - commensurate with experience

REPORTS TO: Mayor, Chief of Staff or their designee
SUPERVISORY RESPONSIBILITY: May supervise interns/volunteers as needed
The Mayor's office is seeking a motivated and talented Executive Assistant. The individual who fills this essential position will perform highly responsible administrative and clerical work that supports the operations of the Mayor, the Chief of Staff, and the Mayor's office. The successful candidate will have the opportunity to become involved with a variety of fascinating projects promoting the City's values, programs and initiatives.
The position is non-unit and not eligible for remote work.
Essential Functions
- Performs highly responsible administrative and clerical work supporting the operations of the Mayor, the Chief of Staff, and the Mayor's office.
- Acts as a confidential administrative assistant to the Mayor and Chief of Staff
- Relays administrative orders and information to department employees; prepares correspondence.
- Oversees Contract administration.
- Acts as a liaison with other departments or agencies; prepares, by direction, correspondence relative to the function of the department.
- Maintains department personnel records, preparation, and disbursement of payroll
- Maintains Office budget; purchase orders; requisitions.
- Communicates with vendors.
- Assists in preparing City Council Filings, when needed.
- Assists with Mayoral Event planning.
- Other duties as assigned.
Requirements
QUALIFICATIONS REQUIRED AT HIRE
Associate's Degree or advanced training; three (3) years of administrative experience; supervisory experience; municipal experience preferred; or an equivalent combination of education and experience.
Knowledge, Skills, And Abilities
- Knowledge of office administration and management practices.
- Knowledge of payroll policies and practices.
- Ability to prioritize assignments and work independently.
- Ability to update and maintain records.
- Ability to communicate effectively in written and oral form.
- Basic accounting skills.
- Interpersonal, communication and organizational skills.
- Computer skills.
Physical Demands
- Operates standard office equipment.
- Minimum physical effort is required to perform duties.
- Required to stand, walk, sit, speak, hear and use hands to operate equipment.
- Vision requirements include the ability to read and analyze documents and use computers and standard office equipment.
Work Environment
Work is performed in office conditions and is subject to some fluctuation based upon the demands of the department and unplanned events. Has regular contact with City employees and the public.
