Summary Description: Under direction, performs a varied and highly responsible, often confidential, office and secretarial work for executive, and department director staff. Meets strict deadlines, coordinates, collects, proofreads/edits, and works closely with administrators and the administrative office manager to finalize and ensure timely delivery of all material for Board of Education and other meetings. Exercises considerable initiative to resolve problems and to anticipate and respond to office secretarial/clerical needs. Work involves frequent contact with MCPS executive staff, department directors, and community organizations, requiring sensitivity, good judgment, and strong interpersonal skills. Must possess an understanding of the organization and functions of MCPS schools and offices, policies and regulations. Physical Demands: Requires sustained operation of keyboard devices. Special Requirements: Must be available to work unusual hours, nights, weekend, and overtime when required to do so.

Key Responsibilities

  • Perform varied and highly responsible office and secretarial work for executive and department director staff.
  • Coordinate, collect, proofread/edit, and finalize materials for Board of Education and other meetings; ensure timely delivery.
  • Exercise initiative to resolve problems and anticipate secretarial/clerical needs.
  • Maintain contact with MCPS executive staff, department directors, and community organizations with sensitivity and good judgment.

Qualifications and Skills

  • Education/Training: High School or GED required. Some college coursework desirable; Associates degree preferred. Minimum five years of progressively more responsible experience, three of which in administrative/office assistant roles in a school or central office setting.
  • Technical: Proficient in Microsoft Office suite, Google suite, shared drives; capable of complex word processing, spreadsheets, databases; familiarity with incident management systems and related technology tools is desirable.
  • Knowledge: Strong command of business English, spelling, vocabulary, arithmetic; understand organization and functions of MCPS units.
  • Other: Ability to handle confidential matters with tact; able to work independently and as part of a team; excellent oral, written, and interpersonal communication skills; knowledge of SSPGS core competencies is desirable.

Knowledge, Skills, Abilities (KSA) Summary

Proficiency in creating and monitoring incidents in the Incident Management System; familiarity with technology tools, surveys, and mobile media; ability to meet seven SSPGS core competencies; capable of complex data handling and report preparation.

Education, Training, Experience

  • High School or GED diploma required; some college coursework desirable; Associate degree preferred.
  • Minimum five years of progressively more responsible experience; three in administrative/office roles in a school or central office setting.
  • Training in personal computing for complex word processing, spreadsheets, and databases; payroll experience and JP Morgan skills preferred.
