Position Summary

We are seeking a highly organized, proactive and resourceful Office Assistant to support our team. The ideal candidate will be energetic, passionate about their work, and dedicated to maintaining a productive and organized office environment. This role manages front office operations, ensures a welcoming environment for guests and visitors, and performs various administrative tasks to ensure day-to-day operations run smoothly. Reporting to the HR department, the candidate will possess exceptional communication skills, keen attention to detail, and a passion for delivering excellent customer service.

Key Responsibilities

  • Handle incoming calls, greet and welcome guests, and manage the front desk.
  • Maintain office organization by preparing meeting rooms, managing supplies and mail, and ensuring a professional environment.
  • Coordinate food and beverage or catering services for company events, new hires, and executive meetings.
  • Provide logistical support for onsite and offsite events, including vendor coordination and setup.
  • Assist with onboarding and HR documentation for new hires
  • Assist with filing, data entry, and other clerical tasks or support for special projects as needed.

Qualifications and Experience

  • Minimum of 3 years in a relevant role, such as Administrative Assistant in a fast-paced corporate environment.
  • Bachelor’s degree in Business, Marketing, Communications, Hospitality, Travel and Tourism Management or a related field.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Ability to handle confidential information with discretion.
  • Detail-oriented with a passion for maintaining high standards.
  • Reliable, proactive, and able to work independently or as part of a team.
  • Ability to maintain a professional demeanor in a fast-paced environment.
  • Proficiency in MS Office (Word, Excel, Outlook).

Additional Requirements

  • Ability to lift and move office supplies and equipment as needed.
  • Onsite position, Monday to Friday, based in West Palm Beach, FL.
