Mobile Associate / Office Services Support Associate – Legal Environment (Law Firm Focus)
We are seeking a highly organized, technically proficient, and proactive Mobile Associate / Office Services Support Associate to join our dynamic team. This critical role involves providing flexible, high-quality support across various roles. The successful candidate will be adaptable, reliable, and service-driven, with demonstrated experience in print production within professional services environments.
This role reports directly to the Client Relations Manager.
Responsibilities
- Shift Coverage
- Cover multiple roles within the office services department, such as legal print production, mail services, reception, and conference room setups.
- Step in promptly to cover shifts due to staff shortages, absences, or high-volume projects, particularly in legal environments.
- Work closely with the Workforce Management Team to receive assignments and coordinate travel or schedule changes efficiently.
- Ensure adherence to firm policies, legal confidentiality standards, and safety protocols at each location.
- On-Site Support
- Quickly assimilate into on-site legal support teams and adapt to law firm workflows and expectations.
- Handle duties with minimal ramp-up time, maintaining high service levels and legal compliance.
- Assist with tasks such as court filing preparation, legal brief printing, binding, and scanning.
- Customer Service
- Deliver outstanding customer service to attorneys, paralegals, and firm staff across locations.
- Maintain professionalism and discretion when interacting with high-profile legal clients.
- Respond to time-sensitive requests with urgency and a client-first mindset.
- Print & Document Services
- Operate high-volume printers, copiers, and scanners with an emphasis on legal document formatting, including Bates numbering, exhibit labeling, and document collation.
- Manage print queues, monitor job accuracy, and ensure timely delivery of critical materials.
- Provide support for litigation copy jobs, trial binders, and confidential casework.
- Skill Adaptation
- Demonstrate flexibility in transitioning between mailroom duties, hospitality, reception, and print tasks.
- Learn new software and hardware as needed, including law firm document management systems.
- Apply your prior experience in print services to deliver efficient, high-quality output in varied environments.
Position Requirements / Experience / Education
- High school diploma or equivalent; college degree preferred.
- Minimum of 1 year of office services experience, preferably in a legal or corporate environment.
- Demonstrated proficiency with high-volume print equipment and finishing tools.
- Strong familiarity with Microsoft Office and PDF management software (Adobe Acrobat, etc.).
- Ability to handle sensitive legal documents with strict confidentiality and accuracy.
- Friendly, professional demeanor with excellent communication skills.
- Must be a team player capable of working independently and adjusting to varied tasks and timelines.
- Legal Print Production expertise (binding, scanning, formatting).
- Exceptional attention to detail and quality control.
- Ability to prioritize effectively in a fast-paced, deadline-driven environment.
- Strong decision-making and troubleshooting skills.
- Flexible and adaptable, with a client-first service mentality.
