Overview
We’re seeking a seasoned Operations Manager to support the office and staff of a River North-based financial services firm. This role is perfect for a jack-of-all-trades with experience in all aspects of office and operations management – IT, marketing, research, vendor management, and office efficiency. The primary responsibility of this role is to maintain a professional, welcoming office environment while providing administrative support to office staff and leadership.
The ideal candidate will possess 7-10 years’ administrative experience and the ability to work independently, juggling multiple priorities in a diversified role. Self-starters with an entrepreneurial spirit will find success in this position.
Base pay range
$90,000.00/yr - $120,000.00/yr
Responsibilities
- Maintain a welcoming office environment by ensuring a tidy front office and coordinating back-of-house activities that foster camaraderie and inclusion
- Provide comprehensive administrative support for the office’s staff and leadership, including document preparation, mail distribution, meeting coordination, and event coordination
- Support client outreach operations by managing mailing lists, overseeing mass communications, and coordinating holiday gift mailings
- Manage day-to-day relationships with vendors, including the Office of the Building, to maintain office inventory, systems, and efficiency
- Manage employee onboarding, offboarding, and benefits
- Oversee accounts payable, billing, and banking activity such as wire transfers and deposits
- Maintain tax filing calendar and ensure timely payment
Requirements
- 7-10 years’ administrative experience required
- Strong proficiency in Microsoft Suite
- Polished and professional demeanor with the ability to remain calm under pressure
- Excellent written and verbal communication skills
- Ability to manage competing deadlines in a fast-paced, service-based environment
- Eagerness to implement new office technologies and streamline processes
