Job Title and Details

Job Title: Administrative Assistant

Location: Phoenix, AZ 85034

Shift: 7:00 AM- 4:00 PM

Employment Type: 6 Months Contract on W2 (With possible extension)

Responsibilities

  • Responsible for prescreening and review of new orders, review returned approvals and release projects on time to obtain firm ship date based on building schedule.
  • Manage project throughout entire Order Management process; remove barriers that may delay project schedule.
  • Interface with project managers, branch and sales staff to ensure proper procedures are followed and deadlines are met.

ESSENTIAL JOB FUNCTIONS

  • Review quote, order form, surveys and / or booking package for completeness and accuracy of required information for quoting or manufacturing.
  • Review and make necessary changes to quoted prices based on customer driven changes to ensure accuracy and completeness of data presented for submittal drawings.
  • Create and maintain production schedules that meet customer demands and optimize the use of manufacturing resources.
  • Review and analyze documentation for use in the preparation of Modernization (MOD) & Components Submittal data including quoted prices, architectural drawings, and surveys.
  • Prepare accurate, timely release orders to suppliers to assure the precise equipment is delivered in accordance with the contract schedule.
  • Enter data and maintain job information on the mainframe system.
  • Maintain related forms and files. Correspond with Manufacturing, and sales staff to ensure procedures are followed and deadlines are met.
  • Respond to internal and external customer requests within the time specified in our service level agreements.
  • Identify, resolve, and initiate problem resolution during the change management process.
  • Maintain control system to distribute drawings to the proper department.
  • Process job within defined service level agreements to ensure a timely ship date.
  • Follows up with customer prior to billing to verify work completed, billing address, etc.

Qualifications

  • High School Diploma or GED
  • Strong customer service experience and abilities are required.
