Executive Assistant – Van Nuys, CA

$70,000–$80,000 + Excellent Benefits | Full-Time, On-Site

Plan2Placement is excited to be working with a successful and growing client in Van Nuys, CA, to hire a dedicated Executive Assistant. This role is an excellent opportunity for someone who thrives in a professional office setting, enjoys variety in their day, and takes pride in supporting both leadership and clients.

About the Role

The Executive Assistant will serve as a trusted partner to the firm’s leadership team, ensuring seamless day-to-day operations. This position combines executive support, client service, and office management responsibilities—all while maintaining a polished and welcoming office environment.

Key Responsibilities

  • Executive Support: Manage Partner calendars, schedule meetings (in-person and virtual), handle correspondence, and assist with timekeeping.
  • Billing & Finance Support: Prepare and send invoices, process payments, track accounts receivable, and generate client statements.
  • Client & Vendor Relations: Greet clients and visitors, coordinate conference room set-ups, and act as the first point of contact for vendors and service providers.
  • Communication: Professionally answer and direct calls, draft emails, and correspond with clients and tax agencies as needed.
  • Document & Records Management: Prepare and distribute documents through DocuSign, maintain client files, and ensure accurate tracking of tax returns and related materials.
  • Office Coordination: Order supplies, organize food for events/meetings, and assist with team celebrations and office activities.
  • Team Collaboration: Anticipate leadership needs, assist colleagues when possible, and contribute to a positive and supportive work environment.

What You’ll Bring

  • Prior experience as an Executive Assistant or in a similar administrative role.
  • Excellent communication, organizational, and multitasking skills.
  • Professional presence and ability to represent the firm with clients and partners.
  • Proficiency with Microsoft Office; familiarity with accounting or tax software is a plus.
  • A proactive mindset with strong attention to detail and follow-through.
