POSITION TITLE: Executive/Administrative Assistant
LOCATION: Brooklyn, NY
HOURS: Monday – Thursday, 9:00 AM – 5:00 PM. Friday 9-3pm
COMPENSATION: $25 – $35 per hour (based on experience and education)
Responsibilities
Provide direct administrative and personal support to the CEO
Serve as the first point of contact for customer service calls and emails, ensuring timely and professional responses.
Prepare and send customer invoices, track receivables, and follow up on outstanding payments.
Coordinate office operations including documentation, compliance reporting, and vendor communications.
Assist with ad-hoc projects and research tasks as directed by the CEO.
Monitor project deadlines and proactively issue reminders or escalate as needed.
Qualifications
Minimum 2 years administrative or office management experience in energy sector
Proficiency in Microsoft Excel (formulas, filtering, formatting), Google Drive (Docs, Sheets, Forms), and generally tech-savvy
Excellent written and verbal communication skills
Strong attention to detail, ability to manage multiple priorities and meet deadlines
Familiarity with CRM platforms such as Vertex One, Quickbooks, AirTable, or similar tools
Professional and proactive nature
