Overview
Department Secretary - Surgical Services FMC at Northern Arizona Healthcare. The Department Secretary provides secretarial, clinical, receptionist and office support for the department and staff in related NAH departments, including Communications, Education, Engineering, Operating Room, Pre-Op PACU, Radiology Administration, Guardian, Biomedical, Nutrition, Engineering, Patient Access, Supply Chain, Cath Lab, and other related departments.
Responsibilities
- Administrative: Prepares reports for management and/or clinical teams as requested; provides confidential administrative support to management and/or clinical teams as needed; gathers, revises and enters data using department-required statistics/units/other; data entry and customer service (in person and/or on the telephone); clerical duties such as ordering, keyboarding, scanning, filing, photocopying and transcribing; processes time edits to established guidelines; may contact and work with external vendors; maintains an organized financial management system for timely bill payments, purchase requisitions, check requests, tracking inventory and/or other department expenses; maintains or supports current document control file; may be responsible for scheduling and billing.
- Operations: Meets and greets customers using customer service guidelines in person and/or on the telephone; answers, evaluates and prioritizes incoming administrative calls, obtaining complete information to determine caller needs; operates computer terminals to retrieve information and respond to queries; performs searches and relays questions from inquiring customers; keeps current department standards/communications boards; may manage current manual/electronic communication devices as needed for the department.
- Compliance/Safety: Reports safety-related incidents in a timely fashion; attends safety-related training; performs work safely and monitors the work environment for safety issues; stays current with state and federal regulations/statutes and company policies impacting the area; ensures required certifications/licenses are up-to-date prior to expiration; completes mandatory modules and required job-specific training within the specified time frame.
- On-Call: Depending on the nursing unit, being on call may be required.
Qualifications
- Education: High School Diploma or GED required; Associate's Degree preferred.
- Certification & Licensure: Fingerprint Clearance Card application number required upon hire; Fingerprint Clearance Card required within 90 days of hire.
- Experience: Clerical, secretarial, receptionist experience preferred; excellent verbal and written communication and problem-solving skills preferred; customer service preferred.
- Technical: Microsoft Windows workstation environments and MS Office products experience (Word, Excel, Outlook) preferred.
