About the role

The Maintenance Planner/Scheduler is responsible for increasing maintenance productivity and work quality by anticipating and eliminating potential delays through effective planning and coordination of labor, materials, parts, and equipment access. This role works closely with the production and maintenance teams to ensure all plannable maintenance activities are properly scheduled and executed. The Planner/Scheduler ensures the accuracy of maintenance records and files to support meaningful analysis and reporting. In addition, this role supports the development and execution of the site's asset maintenance strategy by promoting predictive and preventive maintenance practices, addressing equipment defects, and providing leadership throughout the entire asset lifecycle-from installation to replacement. The Planner/Scheduler also manages MRO inventory for the maintenance shops, including monitoring inventory levels, addressing part outages, coordinating reorders, and providing overall support to maintenance leadership.

Responsibilities

Ensure all maintenance jobs in the CMMS include proper safety procedures and practices. • Administer and maintain the CMMS, including updating asset information, parts, and schedules; training new users; and ensuring the accuracy of all system data. • Review and screen incoming work orders (excluding same-day requests) for accuracy, completeness, and appropriateness. • Serve as the primary liaison between Maintenance and Production, ensuring work is scheduled on time, planned efficiently, and executed according to the job outline. • Lead or participate in weekly planning meetings with Production Supervisors and Planners to review work priorities, coordinate asset access, and confirm upcoming planned maintenance activities. • Develop and prioritize weekly work schedules, assign tasks to maintenance technicians, and coordinate asset availability to meet plant needs. • Assist in building daily, weekly, and annual maintenance schedules, including planned shutdowns. • Research work order requirements, review historical data, and identify best practices to improve repair procedures and job planning continuously. • Collaborate with the Maintenance Reliability Manager on projects related to asset upgrades, replacements, and process optimization with a focus on safety, reliability, and efficiency. • Perform equipment audits to identify required maintenance tasks and document findings. • Determine resource requirements for scheduled jobs, including crew size, labor hours, materials, tools, parts, and external services. Prepare bills of materials, coordinate procurement, and provide cost estimates. • Plan and coordinate materials, parts, and tools for reliability improvement projects to maximize technician efficiency and system performance. • Estimate labor hours and total job duration for all planned work orders. • Analyze equipment downtime data, manage warranty claims with OEMs, and develop strategies to improve uptime and reduce costs. • Drive a proactive, preventive, and predictive maintenance program with a target of at least 85% planned proactive work. • Proactively identify equipment issues through work order reviews and technician feedback and escalate concerns to the Maintenance Manager/Supervisor. • Schedule contractors for predictive and preventive maintenance activities (e.g., x-ray testing, infrared scans, vibration analysis). • Contact suppliers to source MRO parts and plant supplies as needed. • Manage MRO inventory levels, oversee vendor-managed inventory, ensure cost competitiveness, build maintenance part kits, and eliminate parts-related downtime. • Actively participate in Continuous Improvement (CI) and reliability initiatives to reduce costs, increase efficiency, and optimize plant performance. About you

High School Diploma or GED required, associate's degree in a related field preferred. • Minimum of 3 years of relevant experience, preferably with inventory control and management responsibilities. • Strong knowledge of industrial equipment, parts, materials, and supplies. • Ability to read, analyze, and interpret technical procedures, manuals, and catalogs. • Familiarity with government regulations as well as company policies and procedures. • Strong communication skills with the ability to present information clearly and respond effectively to questions from managers, coworkers, vendors, and other stakeholders. • Proficiency in applying mathematical concepts such as fractions, percentages, ratios, and proportions to practical maintenance planning and inventory problems. • Strong analytical and problem-solving skills, including the ability to collect data, identify issues, establish facts, and draw valid conclusions. • Proficiency in Microsoft Word and Excel, with experience using CMMS (Computerized Maintenance Management Systems).
