Attorney Recruiting Assistant

Fenwick & West . This position provides general administrative support to the Summer Program and lateral recruitment functions of the Recruiting Department. The role offers a hybrid schedule with three days on-site per week in the office, and additional in-office days as needed. Work hours are 40 hours per week (non-exempt), Monday Friday, 9:00 am 6:00 pm. Responsibilities
Monitor and maintain Recruiting Department inbox, respond to inquiries, and route emails to appropriate parties. Assist with applicant correspondence and submission process. Maintain inventory of physical recruiting supplies (recruitment materials, brochures, and promotional items). Maintain electronic files and records, including annual file clean-up and records management. Process invoices for payment, handle check requests and departmental invoices. Update and maintain recruiting calendar and contacts. Assist with summer associate and lateral candidate interview processes, including scheduling, evaluation forms, follow-up interviews, and greeting candidates online. Compile evaluations for the Recruiting Committee and/or Practice Area Leaders; update applicant records in Workday and other platforms; monitor follow-up communications. Assist with preparing for OCI, including registration, resume organization, and interviewer outreach. Handle offer correspondence and new hire processing. Coordinate expense and cost sharing for all candidates; maintain expense records and process reimbursement requests. Update and maintain recruiting databases (LawCruit, Workday, SmartSheet, and other platforms). Assist with planning and execution of the Firms annual Summer Program, including orientation, event planning, Summer Associate Work Assignment System, evaluations tracking, and mid-/end-of-summer reviews. Attend Summer Program events as needed. Collaborate with Recruiting team on tasks such as spring presentations, receptions, travel arrangements, Summer Program events, meeting room and catering logistics, and candidate follow-ups. Design and create Attorney Recruiting newsletters as needed. Perform other related duties as assigned. Qualifications
Knowledge of attorney recruiting processes. Ability to manage multiple priorities under deadline pressure. Effective communication and interpersonal skills. Excellent attention to detail. Computer proficiency with data entry into databases; proficient in MS Office and recruiting software (Workday and LawCruit preferred). Strong organizational skills. Reporting to the Senior Manager of Attorney Recruiting, the ideal candidate will have at least 1 year of experience in a law firm or professional services setting. A Bachelors degree or equivalent education is required. Benefits And Compensation
