Overview
The Facilities Coordinator is responsible for managing Cavender’s day-to-day facility service requests and maintenance activities across all retail locations. Using ServiceNow as the primary ticketing system, this role ensures that maintenance issues are tracked, assigned, and resolved efficiently. The Facilities Coordinator works closely with store managers, service vendors, and the Facilities/Construction team to maintain safe, functional, and customer-ready store environments. The ideal candidate is highly organized, detail-oriented, and proactive in managing multiple requests and vendor relationships at once.
Duties and Responsibilities
Support the “Cavender’s Culture” and drive our Mission, Vision, and Values
Manage incoming ServiceNow facility tickets, including reviewing, prioritizing, assigning, and tracking requests to resolution.
Coordinate with approved vendors to schedule maintenance and repair work for HVAC, electrical, plumbing, lighting, signage, and other facility needs.
Communicate with store managers regarding service requests, updates, and timelines for resolution.
Ensure timely closure of tickets in ServiceNow with proper documentation of work completed.
Monitor recurring issues and escalate patterns or high-priority items to the Facilities Project Manager.
Verify vendor invoices for accuracy after approval and maintain accurate service records.
Assist with scheduling preventative maintenance activities and ensure compliance with Cavender’s standards.
Provide regular reporting on ServiceNow ticket metrics, including response times, completion rates, and vendor performance.
Support the Facilities/Construction team with special projects, remodels, or upgrades as assigned.
Qualifications and Requirements
Associate’s or Bachelor’s degree in Business, Facilities Management, or related field ; equivalent experience considered.
2–4 years of experience in facilities coordination, maintenance support, or vendor management.
Experience using ServiceNow or similar ticketing/work order management systems.
Strong organizational skills with the ability to manage multiple requests at once.
Excellent communication and relationship-building skills.
Basic knowledge of building systems (HVAC, plumbing, electrical) and retail facility operations.
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
Based in Tyler, TX at Cavender’s Home Office; occasional travel may be required.
Skills
Background in retail or multi-site facility management.
Familiarity with preventative maintenance planning and vendor compliance.
Strong problem-solving ability with attention to detail.
Comfortable working in a fast-paced, service-oriented environment.
