Schedule:
Monday through Friday, some weekends required
Reports to: Athletics Director
Purpose: To assist the Athletics Director and Middle School Athletics Director in managing the day-to-day operations and promotion of the middle school and high school athletics program serving approximately 350 student athletes in each division, provide support to the Director of Athletics for event coverage.
Responsibilities Provide clerical support to Athletics Director, including correspondence and calendar management, department social media channels, budget reports, and additional projects as needed Provide administrative support in the Athletics Office including, but not limited to, answering phones, mail, and email; greeting parents and visitors; communicating schedule changes; serving as the primary point of contact for athletes, families, and department events Schedule athletic department events on the school-wide calendar including department meetings and coordinate events with appropriate school organizations and functions Generate weekly department newsletter articles in conjunction with Director of Communications Lead graphic designer for athletic department, including social media graphics, apparel artwork, way-finding signage, senior banners, presentation slides, and other department-related materials Supervise department supply orders, inventory needed supplies, and code all purchases in a timely fashion Develop and manage uniform and equipment inventory, storage, and maintenance Assist Athletic Directors with details related to game/event management; confirmations, staffing, and event setup; responsible for confirmation of all home/away sporting events Prepare reports for the high school state athletic association and middle school league as needed Maintain a warm, friendly, and organized atmosphere in the athletics office which sponsors 15 sports and over 40 teams for grades 5-12 Prepare payments for game-day officials and staff, including online payments, and maintain thorough records Manage use of athletics facilities including scheduling outside groups and procuring contracts, payments, and insurance Provide administrative support and game administrator duties at athletic and community events as scheduled Actively engage in the life of the school in various roles filled by all members of the community Perform other duties as determined by Athletics Director Qualifications and Experience
High school diploma, college degree preferred Prior athletics experience preferred Prior administrative office management experience preferred Experience working with graphic design platforms and/or social media management Skills and Abilities:
Demonstrate initiative, excellent organizational skills, attention to detail, and the ability to meet deadlines Possess strong oral and written communication skills Meet the demands of an open and active working environment with a positive outlook and professional demeanor Work collaboratively with colleagues, students, parents, and other members of the USN community Possess strong computer skills including proficiency in Google Suite (calendars, scheduling, sheets, slides), as well as the ability to learn new programs quickly Be dependable and discreet with regard to needs for confidentiality Be eager to learn, able to adapt to change, and committed to one's own professional growth Ability and interest in being flexible, especially in regards to hours and tasks at hand
The School
University School of Nashville is an independent, non-sectarian, co-educational day school with enrollment of over 1,000 students in kindergarten through twelfth grade. In 1915, the George Peabody College for Teachers opened Peabody Demonstration School, USN's predecessor, which earned acclaim for its curriculum and faculty. In 1974, Peabody College announced plans to close PDS, and a group of parents, alumni, students, and teachers reconstituted and re-chartered the school as University School of Nashville.
