Our client, a top law firm, is seeking a talented Specialist, Document Services to join the administrative staff team. Highly skilled and knowledgeable administrative staff play a vital role in supporting attorneys and helping the organization meet and exceed client needs. Responsibilities: Draft, edit, and print standard legal documents from a variety of input sources in a timely manner. Apply styles and formatting in accordance with established standards or specific office, client, or jurisdictional requirements. Convert documents from multiple applications and apply appropriate formatting. Produce comparisons (redlines or blacklines) of documents using standard legal tools. Revise spreadsheets, charts, and presentations using industry-standard applications. Use legal-specific features (e.g., Table of Authorities, Cross-Referencing, Indexing, or Bookmarking) to produce documents. Work directly with attorneys and other internal customers as needed. Communicate status updates and other pertinent document-related information to team members and stakeholders. Utilize digital tools to facilitate communication and collaboration. Provide document production support for closings, filings, and other after-hours work as required. Record time worked on jobs using job-tracking software. Complete required training to maintain continuing education credits. Remain flexible to work after hours and additional shifts as needed. Perform other responsibilities as assigned by management. Qualifications: High School Diploma or GED required, college degree preferred. 2+ years of experience as a document services specialist in a law firm or corporate environment. Advanced knowledge of Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and other standard legal-specific software; graphic design experience is a plus. Ability to prioritize and shift quickly between tasks in a fast-paced, high-pressure environment while maintaining high professional and quality standards. Strong focus on client service and relationship-building with attorneys and administrative staff. Familiarity with legal terminology and procedures. Proven ability to handle sensitive and confidential information with discretion. Strong proofreading skills with attention to grammar, typographical, punctuation, and spelling accuracy. Commitment to continual learning and skill development. Knowledge of computer systems and ability to operate office equipment (printers, scanners, multifunction devices, transcription equipment). Excellent attention to detail, written and oral communication skills, and interpersonal abilities. Ability to work both independently and collaboratively in a distributed team environment.
