The Estimator (Sales Representative) is responsible for preparing accurate cost estimates and selling landscaping

maintenance contracts

and

extra services

(enhancements, repairs, and seasonal work). This role requires strong client relationship skills, attention to detail, and the ability to balance sales growth with accurate pricing and profitability. The Estimator will work closely with operations and management to deliver proposals that align with company standards and client needs.

Key Responsibilities

Client Development

Identify and pursue expanded commercial maintenance accounts (HOAs, retail centers, apartments, municipalities, corporate campuses, etc.).

Build strong relationships with existing clients to secure renewals and identify opportunities for extras or enhancements.

Conduct site walks with clients to assess needs, answer questions, and provide professional recommendations.

Respond promptly to inquiries and provide excellent customer service throughout the sales process.

Estimating & Proposals

Prepare detailed and accurate estimates for maintenance contracts and extras, including labor, materials, and equipment.

Use company software (e.g., LMN and other estimating tools) to prepare take-offs, proposals, and job cost analyses.

Ensure proposals are competitive while maintaining company profitability standards.

Present proposals to clients clearly and professionally, highlighting value and service quality.

Collaboration & Communication

Work with operations managers and foremen to verify production rates, job site conditions, and labor requirements.

Coordinate with the accounting/HR team to ensure proposals align with labor and overhead costs.

Communicate accepted proposals to operations for scheduling and ensure smooth handoff to the field.

Performance & Reporting

Meet or exceed individual sales goals for maintenance contracts and extras.

Maintain accurate records of prospects, proposals, and sales activity in CRM or designated systems.

Provide regular updates to management on sales pipeline, client feedback, and market trends.

Qualifications

3+ years of experience in landscaping sales, estimating, or account management (commercial maintenance ).

Strong knowledge of landscaping practices, maintenance standards, and common extras (irrigation repairs, seasonal , tree/shrub care, enhancements).

Proven ability to build and maintain client relationships.

Proficiency with estimating software and Microsoft Office Suite.

Strong communication, negotiation, and presentation skills.

Ability to read site plans and specifications ().

Valid driver’s license and clean driving record.

Requirements

Ability to work on construction sites, often in outdoor and adverse weather conditions.

Ability to lift and carry up to 50 pounds (or more)and stand for extended periods.

Comfort working in physically demanding environments.
