Project Controls Specialist

Coordinate and provide support to project managers, and the clients facilities staff to establish and maintain data coding structures and project control tools. Interact with District accounting and purchasing staff, coordinate District financial information with Procore system for all financial transactions to ensure reconciliation of program controls data for monthly reporting purposes. Gather and track quality data used for budgets, contracts, change orders, trends, and actual costs. Maintain management reporting data to produce program controls reports. Ensure regular and timely reporting of the projects financial progress to advise of any conditions that would affect timelines or costs. Review documents filed by Project Managers to ensure accurate and thorough document control. Review, evaluate, and recommend changes to project documents as required by project needs. Routinely review pay applications, change orders and contracts for accuracy and alignment with budget and board approval. Assist the project management team with various parts of the project such as constructability review, value engineering, pay app reviews, schedule development, FF&E program development and execution. Assist in formulating the design, bid, and project phase of scheduling. Assist in the Addenda and Bid process. Under supervision of Project Manager, conduct pre-bid and job start meetings. Monitor contract compliance and report concerns to Project Manager. Under the supervision of Project Manager, facilitate job site meetings and prepare meeting minutes. Oversee approvals from applicable government agencies are received and documented. Under supervision of Project Manager, conduct close out activities and assist with building occupancy. Prepares field reporting for review by Project Manager. Perform QA/QC process. Review change orders for completeness and conformance to company and client standards. Review RFIs/Submittals for completeness before distribution to design team. Provide basic CPM scheduling and budget management. Review and maintain As Built drawings. Other duties as assigned. Attendance at work during normal business hours. Knowledge & Skills
Proficient in using Procore construction management software Experience with various project control tools and software. Experience gathering and tracking quality data relating to budgets, contracts, change orders, trends and actual cost. Experience with the QA/QC process. Utilize effective written and oral communication skills. Understand how your role contributes to the organization's goals. Deliver quality work product by role modeling organizational core values. Education: Bachelor's Degree in Business Administration or equivalent experience Experience: A minimum of 5 years experience in construction administration is required Preferred Certification: Primavera Systems Certification or equivalent for document control software usage Equal Employment Opportunity
