Payroll Manager
to oversee and streamline payroll operations for our mixed compensation structure, with a special focus on commission-only employees. This role ensures compliance, accuracy, and fairness across all employee compensation models. Job Description The
Payroll Manager
will manage payroll operations for a diverse workforce, including exempt, non-exempt hourly, salaried, and commission-only employees. This role requires expertise in navigating the complexities of different compensation structures, with an emphasis on compliance with labor laws as they apply to commission-based pay and wage/hour classifications. You will collaborate with HR, accounting, and department leads to ensure payroll is processed accurately, on time, and in full compliance with federal, state, and local laws. You will also address compliance challenges that arise with managing a mixed workforce, particularly for commission-only employees with unique wage and hour considerations. Key Responsibilities Payroll Management : Oversee payroll processing for exempt, non-exempt, salaried, and commission-only employees, ensuring compliance with legal requirements and company policies. Commission Tracking & Calculation : Implement and manage systems for tracking commissions for sales and performance-based employees, ensuring transparency, accuracy, and regulatory compliance. Exempt vs. Non-Exempt Compliance : Ensure proper classification of employees as exempt or non-exempt, adhering to wage and hour laws (e.g., FLSA) and proper overtime payment where applicable. Taxation & Deductions : Accurately calculate and apply tax withholdings, deductions, and other payroll items in compliance with tax regulations, especially for commission-based and hourly employees. Reporting & Audits : Prepare payroll reports with insights into compensation trends and commission earnings; conduct periodic audits to ensure adherence to laws and internal policies. Discrepancy Resolution : Address and resolve payroll discrepancies and employee inquiries related to payroll, including commission-based pay, overtime, or wage classification. Process Improvement : Review payroll processes and recommend improvements for efficiency, accuracy, and compliance; suggest ways to streamline the payroll system for commission-based employees. Collaboration with HR and Accounting : Work with HR to document compensation agreements in employee contracts and ensure compliance; collaborate with accounting on budgeting and forecasting payroll expenses, especially for variable compensation structures. Employee Education : Provide training or guidance to employees on compensation structures (e.g., commission models, exempt vs. non-exempt classifications) to ensure pay and benefits understanding. Qualifications Education : Bachelor’s degree in Accounting, Finance, Business Administration, or related field, or equivalent work experience. Experience : 5+ years of payroll management experience, specifically with mixed compensation structures (exempt, non-exempt, salaried, and commission-only). Compliance Expertise : Strong knowledge of federal and state wage and hour laws (including FLSA), minimum wage, overtime, and tax regulations as they apply to different employee types. Payroll Systems : Proficiency with Paycor, QuickBooks (or similar platforms), and commission tracking tools (e.g., Spiff, CaptiveIQ, QuotaPath) to manage commission-based payroll. Commission Structures : Deep understanding of commission structures (straight, tiered, draw, residuals, overrides) and challenges in tracking and paying commissions, especially for commission-only employees. Thought Leadership : Ability to collaborate with Sales leadership to evaluate commission structures and provide feedback on complexity and support requirements. Attention to Detail : Strong organizational skills and meticulous attention to detail in payroll data handling and compliance across models. Problem-Solving : Capability to investigate and resolve payroll discrepancies, including commission-based pay and overtime for non-exempt employees. Communication : Excellent interpersonal and communication skills to explain complex payroll topics to employees and management.
