Overview
Under general supervision, the Records Assistant I performs document imaging to store original format into the records management system, verifies accuracy and makes corrections. Greet, effectively communicate, and provide assistance and information to the public. Requires working knowledge of computer programs and office skills. Responsibilities
Maintain the Montgomery County Department of Job & Family Services (MCDJFS) Public Assistance Records Room document management systems; prepare and process case documents in paper and electronic formats; sort, collate data and documents; enter case record information into computer software; scan hard copies using an Electronic Document Management System (EDMS) and imaging hardware; retrieve data from other databases to verify accuracy and index documents in EDMS. Assist agency staff, partners, and customers by processing specialized document requests, scanning submitted case documents, mail handling, fulfilling attorney requests, facilitating in/out of county transfers, and completing special records tasks. For the Records Assistant I (CSEA), maintain CSEA records filing system; prepare case records for scanning; scan hard copies using OnBase; retrieve and verify data; index documents; assist with microfilming retrievals; provide guidance on microfilm equipment; support in/out transfers in SETS and OnBase. Maintain production statistics using Microsoft Excel; participate in record retention and disposition processes according to agency, state, and federal policies; prepare disposal paperwork as required. Perform related clerical duties: answer phones, assist customers at the window, log materials, process mail, and prepare statistical reports; provide training assistance to new staff or temporary workers. Minimum Qualifications
High School diploma or equivalent (GED) required; include courses in keyboarding, Microsoft Excel and Word; ability to operate automated equipment and enter data according to standards. Experience with confidential records processing preferred. Any combination of training and work experience demonstrating the skills, knowledge, and abilities listed. OR alternative, equivalent evidence of the minimum class requirements. Driving license with acceptable driving record. Training may be required. Probation and Benefits
