Donor Relations and Stewardship Analyst

Job Summary
The Donor Relations and Stewardship Analyst plays an integral role in supporting the university's stewardship initiatives, contributing to the meaningful recognition and retention of our donors and supporters. This position supports the cultivation and stewardship of long-term relationships with donors through the execution of key administrative and communication tasks, including gift acknowledgment and donor recognition. This role will focus on implementing strategies to build donor affinity, ensuring that our offerings align with the goals of SJSU’s University Advancement division, the Tower Foundation, and our donors. The analyst will assist in maintaining and growing the donor acknowledgment program to ensure it remains relevant to our constituency. The position also includes significant administrative support and customer service responsibilities, serving as the first point of contact for the Donor Relations and Stewardship Office.
Key Responsibilities
Support the preparation and completion of the annual Endowment Impact Report and annual Scholarship Impact Report
Assist in the creation and management of campaign and ad hoc stewardship reports and donor communications
Help draft content for donor communications, including thank-you letters, gift acknowledgements, digital stewardship, emails, briefings, and recognition materials, based on existing templates. Ensure all templates and materials are up-to-date, accurate, and consistent with university and campaign brand templates.
Support project leads, partners, or vendors with content research, videography logistics, graphic and digital content creation
Collect and organize content that highlights philanthropic engagement across campus. Support the Director in making recommendations for relevant content and story ideas for donor-facing materials
Maintain the donor acknowledgment program, making recommendations for its continued growth and relevance
In collaboration with the Director, implement and maintain a tracking system for an inventory of named spaces and naming opportunities across campus
Track donor gift inventory, ensuring accurate records, timely reordering, and annual updates to maintain a fresh selection of appreciation items
Serve as the first point of contact for the Donor Relations and Stewardship team, providing outstanding customer service via phone and a shared inbox
Track team project requests and deliverables, ensure team members and key partners meet deadlines and requirements
Manage student assistant schedules and project task lists
Assist with special projects and university events as needed
Ensure University Advancement and Tower Foundation's web presence is accurate and current
Knowledge, Skills & Abilities
Proficiency at supporting and participating in stewardship and donor relations within advancement services, fundraising operations or related fields.
Knowledge of clear, audience-appropriate communication practices for students, faculty, staff and external partners.
Strong oral and written communication skills
Ability to work as part of a collaborative team
Unquestionable integrity and commitment to professional ethics
High level of initiative, attention to detail, and organization skills
Ability to responsibly handle sensitive and confidential information with discretion
Skilled in successfully managing multiple projects on tight deadlines and under pressure in a dynamic and open environment
Ability to define problems, gather data, establish facts, and draw valid conclusions
Proficient in Google Suite and Microsoft Office Suite and ability to utilize fundraising database programs, and learn new tech platforms for project management
Ability to be flexible
Excellent customer service and public relations skills
Knowledge of the principles and practices of fundraising in higher education
Ability to identify, cultivate, solicit, and steward funding prospects
Ability to develop and implement effective fundraising strategies
Ability to work effectively with faculty, staff, students, alumni, and other constituents
Excellent organizational skills, with the ability to juggle multiple projects with high efficiency and with overlapping deadlines; capable of finding solutions and making sound decisions in high-pressure situations
Ability to recall, recognize and communicate interrelated information pertaining to university benefactors and prospects
Competent computer skills including Google Workspace, Microsoft Power BI, Excel, and PowerPoint and generative AI
Knowledge of current terminology, resources, and trends in philanthropy and higher education, including philosophical and practical bases of institutional advancement research methods
Meticulous attention to detail and follow through
Ability to handle sensitive and confidential information appropriately and with discretion
Ability to quickly learn and apply a variety of state, federal, CSU and SJSU policies and procedures
Ability to communicate with constituents in a professional and respectful manner
Required Qualifications
A bachelor's degree and/or equivalent training
Four years of administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs
Preferred Qualifications
Bachelor’s degree
Experience in higher education
Experience working in a foundation, alumni or advancement office
Experience with Blackbaud’s Raiser’s Edge NXT or similar donor database
Knowledge of EverTrue platform products
Familiarly with scholarship management technologies, preferably next Gen Scholarship Manager
Compensation Classification: Administrative Analyst/Specialist – Exempt II
Anticipated Hiring Salary: $6,667/month
CSU Salary Range: $5,537/month - $10,014/month
