POSITION TITLE:
EXECUTIVE SECRETARY TO THE SUPERINTENDENT OF SCHOOLS, DEPUTY SUPERINTENDENT, AND BOARD OF EDUCATION
DEPARTMENT:

REPORTS TO:
SUPERINTENDENT OF SCHOOLS
POSITION SUMMARY:
The Executive Assistant to the Superintendent of Schools provides high-level administrative support to the Superintendent and Deputy Superintendent, Board of Education, and senior district leadership. This position manages sensitive and confidential information, coordinates communication between departments, and ensures the smooth operation of the Superintendent’s Office.
Essential Duties and Responsibilities
Provide comprehensive administrative support to the Superintendent and Deputy Superintendent, including managing calendars, scheduling meetings, and preparing correspondence.
Serve as the primary point of contact between the Superintendent’s and Deputy Superintendent’s Office and internal/external stakeholders, including parents, staff, board members, government agencies, and community partners.
Prepare, compile, and distribute materials for Board of Education meetings, including agendas, minutes, and reports.
Draft and proofread letters, memos, and reports on behalf of the Superintendent and Deputy Superintendent.
Prepare and disseminate policies as they are approved by the Board.
Attend all monthly Board of Education meetings; provide documents and supplies necessary to run a comfortable meeting.
Arrange travel, hotel, and conference registrations for Board members, Superintendent, and Deputy Superintendent as necessary.
Assist with district-wide communications and public relations efforts, as assigned.
Maintain confidentiality of sensitive information related to personnel, students, and board matters.
Knowledge of MUNIS program; prepare requisition orders for the Superintendent, Deputy Superintendent, Board, and office as necessary.
Maintain staff grievance files and student expulsion files.
Perform a variety of special projects.
Maintain general office files.
Shall perform other functions as required.

Notary Public.
Qualification Requirements TO PERFORM THIS JOB SUCCESSFULLY, AN INDIVIDUAL MUST BE ABLE TO PERFORM EACH ESSENTIAL DUTY SATISFACTORILY. THE REQUIREMENTS LISTED BELOW ARE REPRESENTATIVE OF THE KNOWLEDGE, SKILL AND/OR ABILITY REQUIRED. Education And/Or Experience
Associate’s or Bachelor’s degree in Business Administration, Education, or related field preferred. Minimum of 5 years in a senior administrative support role, preferably in an educational setting.
Skills
Excellent verbal and written communication skills
Strong organizational and time-management abilities
High level of discretion and professionalism
Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Documents
PowerSchool
Familiarity with board management software (e.g., BoardDocs) preferred
Ability to manage multiple tasks and work independently under pressure
