Overview
Operations and Events Coordinator – Hybrid Opportunity at Stanford University. Department of Classics, School of Humanities and Sciences. This position reports to the Director of Finance and Operations, and works closely with the Chair of the department. The role involves providing administrative support, coordinating events, managing website content, and handling office operations with a strong emphasis on customer service and organization. Responsibilities
Act on behalf of the supervisor, department manager, or chair to establish priorities and resolve administrative problems. Plan, schedule, and operate complex conferences, seminars, and department events; coordinate with vendors, oversee materials, logistics, and on-site operations within budget. Draft documents and correspondence for presentations, conferences, grants, and reports; edit and fact-check as needed. Create and maintain content across unit documents, displays, reports, brochures, social media, and websites to ensure accuracy and accessibility. Plan calendars with limited consultation, resolve scheduling conflicts, and arrange travel in compliance with unit, university, and sponsor policies. Create complex reports and spreadsheets using appropriate software and systems. Oversee and process financial transactions, monitor budgets, reconcile statements, and assist with vendor selection or capital requests as needed. Coordinate routine maintenance, plan office moves or minor renovations, and supervise day-to-day work of students or temporary staff when applicable. Serve as a key contact for faculty, students, external visitors, and guest speakers, demonstrating excellent interpersonal and communication skills and a professional demeanor. Qualifications
Education & Experience: High school diploma and four years of administrative experience, or an equivalent combination of education and relevant experience. Knowledge, Skills And Abilities: Advanced computer skills with office software and email; strong organizational skills and attention to detail; excellent verbal and written communication; strong customer service and interpersonal abilities; ability to prioritize, multi-task, and assign work; ability to take initiative and exercise sound judgment. Physical Requirements
Constantly perform desk-based computer tasks; frequently sit; occasionally stand or walk; reach above shoulders; perform fine manipulation; lift up to 10 pounds; occasional twisting, bending, or kneeling.
