Location:

Stanford Health Care, Tri‑Valley Campus, California

Schedule:

Full‑time (Hybrid – on‑site and from home)

Pay:

$39.20 to $45.56 per hour

Responsibilities

Act on behalf of the supervisor to establish priorities and resolve administrative issues.

Oversee scheduling, organization, and operation of complex conferences, seminars, and events, including vendor coordination, logistics, material production, and budget management.

Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports; perform substantial editing and fact checking.

Maintain and update unit documents, displays, reports, brochures, social media, and websites.

Plan and schedule calendars, resolve conflicts, and arrange travel in compliance with relevant policies.

Create complex reports and spreadsheets using specialized software and systems.

Process financial transactions; monitor and reconcile budget statements; investigate discrepancies; assist with capital or special equipment requests and vendor selection.

Coordinate routine maintenance services; plan and coordinate office moves or minor renovation projects.

Lead or supervise student and temporary workers, scheduling, assigning workloads, reviewing work, and providing performance feedback.

Desired Qualifications

Bachelor’s Degree and 3–5 years of program coordination experience, preferably in an academic medical setting.

PMP Certification.

Strong project and time management skills.

Exceptional organizational skills and attention to detail.

Ability to prioritize, multitask, and meet deadlines.

Excellent written, oral, and interpersonal communication skills.

Education & Experience (required)

High school diploma and four years of administrative experience, or equivalent education and relevant experience.

Knowledge, Skills and Abilities (required)

Advanced computer skills and experience with office software and email applications.

Demonstrated success in following through and completing projects.

Excellent organizational and detail orientation.

Strong verbal and written communication.

Excellent customer service and interpersonal skills.

Ability to prioritize, multitask, and assign work.

Sound judgment in decision‑making.

Physical Requirements

Desk‑based computer tasks.

Frequent sitting.

Occasional standing/walking, reaching above shoulders, fine and forceful manipulation, telephone use, sorting/file paperwork, lifting/carrying objects up to 10 pounds.
