Overview Job Title: Executive Assistant/Office Manager

Location: San Francisco, CA (in-person, 5 days/week with some flexibility)

Schedule: 8am–6pm, with accessibility as needed outside of hours

Compensation: Up to $120K DOE plus bonus and benefits

Our client, a rapidly scaling, AI-driven tech startup, is seeking a polished and proactive Executive Assistant & Office Manager to support the team, partner closely with the CEO, and oversee day-to-day office operations. This person will manage complex administrative responsibilities (calendars, travel, expenses, meeting prep) while also ensuring the smooth running of a rapidly scaling office (vendors, supplies, events, onboarding, and facilities). The ideal candidate will have proven success in a fast-paced, high-expectation environment, ideally from a startup, growth-stage company, or finance/tech firm. They are looking for someone energetic, adaptable, and excited to roll up their sleeves, but who also brings polish, discretion, and confidence in dealing with senior leadership.

Responsibilities

Provide EA support to the team as well as partner closely with the CEO.

Manage dynamic and complex calendars, prioritizing and rescheduling as needed.

Coordinate domestic and international travel, meeting logistics, and itineraries.

Track and process business expenses, reimbursements, and related reporting.

Prepare agendas, presentations, and materials for meetings; ensure executives are fully briefed.

Exercise sound judgment in handling sensitive correspondence and escalating urgent matters.

Oversee all office operations, including supplies, vendors, facilities, and budget tracking.

Act as the main point of contact with building management, IT vendors, and other service providers.

Greet visitors, manage incoming/outgoing mail, and support day-to-day office needs.

Ensure the office environment is well-maintained, stocked, and welcoming.

Plan and execute internal/external meetings, events, and team-building activities.

Support onboarding, new hire logistics, and culture-building initiatives.

Help with formatting and design of documents and presentations in Word, Excel, and PowerPoint.

Support recruiting logistics as the company scales; liaise with external partners where needed.

Uphold compliance with company policies, information security processes, and data protection regulations.

Coordinate ad hoc projects, including research, event planning, and special initiatives as needed.

Qualifications

A bachelor’s degree is required.

5+ years of relevant EA/OM experience supporting senior leadership in a fast-paced environment (finance, tech, or growth-stage startup experience highly valued).

High proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook); strong comfort with Google Workspace and collaboration tools.

Strong organizational and multitasking skills with sharp attention to detail.

Polished communication skills and ability to provide white-glove service to executives, employees, and external stakeholders.

Professional judgment, discretion, and ability to manage sensitive/confidential information.

A proactive, upbeat personality with the flexibility to adapt as the company grows and evolves.
