Job Description
Under general supervision, provides moderately complex administrative support to an individual, office, department or program. Requires thorough knowledge of the organization and programs where assigned and involves moderate participation in the work of the supervisor. Incumbents have responsibility for office operations and function independently, where procedures have been established with moderate consequence of error.
Responsibilities
- Answering the phone at a reception desk or in a specific department and transferring calls as needed
- Sorting and delivering incoming mail and collecting and sending outgoing mail
- Create documents, maintaining databases and sending memos and emails
- Making logistical arrangements for meetings or conferences, including booking travel, making reservations or organizing rentals
- Running errands and making deliveries around the office or to external parties
- Collecting, filing and organizing office documents, such as reports and confidential records
- Managing digital document filing, including encrypted documents and email correspondence
- Monitoring office inventory and ordering supplies
- Transcribing or taking notes during meetings and writing minutes, memos and/or agendas
- Preparing or processing invoices or estimates
- Assisting with accounts payable and accounts receivable, including simple bookkeeping and banking tasks
- Packaging and shipping company materials
- Reviews and verifies documents for completeness, accuracy, timeliness and compliance with procedures
- Responds to routine inquiries requiring knowledge of relevant department policies and procedures
- Operates office equipment such as personal computers, typewriters, calculators, facsimile machines, and photocopiers
Minimum Qualifications
- Experience: Minimum two years providing administrative support
- Working knowledge of office practices, procedures and equipment
- Demonstrated ability to plan, organize, prioritize, and execute complicated and continuing assignments without instruction
- Comprehensive knowledge of and skill in the use of word processing, database and spreadsheet software programs (e.g. Microsoft Excel and Microsoft Word)
- Budget management experience
- Excellent communication and writing skills
Preferred Qualifications
- Knowledge and understanding of computer systems and software packages
- Proficient in MS Word, MS Publisher, MS PowerPoint, and MS Excel
- Excellent organizational, project management, communication and interpersonal skills
- Attentive to details and deadlines, flexible, able to handle multiple tasks in a fast-paced environment
- Ability to work independently and project a professional and positive image
- Working knowledge of office practices, procedures and equipment: grammar, spelling and punctuation
- Ability to independently perform specialized clerical tasks; to understand and apply departmental policies and procedures; to communicate effectively; to follow oral and written instructions; to maintain effective work relationships
Conditions Of Employment
- Office environment; some physical lifting, bending, pulling, standing on step stools, and walking throughout the campus may be required
