How You\'ll Contribute
The Administrative Assistant serves as Administrative Assistant to Chief Executive Officer and Senior Director of People Services. Performs a wide range of administrative and clerical support activities to facilitate the efficient operation of the hospital. Ability to effectively handle a wide variety of processes and tasks as delegated by the facility CEO. Must demonstrate excellent communication and customer service skills. This role may supervise the Receptionist team at some facilities
Essential Functions
- Maintain and distribute provider and administrator on call coverage schedule
- Assumes primary responsibility for all record keeping for Medical Staff Credentialing files.
- Acts as a resource for personnel and maintains awareness of highly confidential and/or important documents received.
- Sorts and distributes all mail for hospital.
- Runs mail through postage machine and maintains all supplies and maintenance request for postage machine.
- Acts as liaison between administration, other departments, employees, medical staff and outside agencies, including managing calendars, facilitating meetings and appointments, making travel arrangements, managing email announcements, and assisting with software.
- Responsible for arranging, facilitating and taking and maintaining minutes for various department meetings, including sending notices to Physicians, compiling agenda items for distribution, and preparing PowerPoint presentations.
- Help organize and execute Employee Engagement activities for employees under supervision of PSD and/or CEO.
- Performs routine secretarial duties, including ordering supplies and updating department software
Qualifications And Requirements
Education: High school diploma or equivalent preferred. Associates Degree preferred
Experience: Previous administrative support, clerical, and customer experience preferred
