Job Summary
The Executive Assistant will provide high-level administrative support to senior executives. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Administrative Support: Manage complex calendars, schedule meetings, and coordinate travel arrangements.
- Communication: Act as the primary point of contact between executives and internal/external stakeholders.
- Confidentiality: Handle sensitive information with the utmost discretion and professionalism.
- Office Management: Oversee office supplies, manage expense reports, and ensure smooth daily operations.
- Meeting Coordination: Prepare agendas, take minutes, and ensure follow-up on action items.
- Document Management: Draft, edit, and proofread correspondence, presentations, and reports.
- Project Management: Assist with special projects, research, and event planning as needed; manage small projects independently.
- Presentation Creation: Design and prepare professional presentations as required.
Qualifications
- Experience: Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
- Hours: In-office availability Monday through Friday, 8:00am to 5:00pm.
- Exceptional organizational and time management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Ability to multitask and prioritize effectively
- Discretion and professionalism in handling confidential information
- Ability to manage small projects and create presentations
Preferred Qualifications
- Experience supporting C-level executives
- Familiarity with project management tools
- Knowledge of mortgage industry is a plus
