Overview

The Executive Assistant to the CEO provides high-level administrative, communication, and strategic support to ensure the effectiveness, efficiency, and impact of the CEO’s leadership.

Responsibilities

  • Executive Support & Research - Conserves the Executive’s time by reading, researching, collecting, and analyzing information in advance to support informed decision-making. Prepares briefing materials, talking points, and background research to ensure the CEO is fully equipped for meetings, presentations, and public appearances. Anticipates the information and resource needs of the Executive and proactively provides solutions. Maintains a high level of discretion and judgment when handling sensitive information and representing the Executive and the organization.
  • Calendar & Schedule Management - Strategically manages the CEO’s calendar, prioritizing appointments, resolving scheduling conflicts, and ensuring appropriate time allocation for high-impact activities. Coordinates complex meeting logistics, including agendas, materials, locations, and follow-up actions. Tracks and follows up on meeting outcomes to ensure accountability and timely execution of decisions. Anticipates future calendar needs based on organizational priorities and the CEO’s strategic objectives.
  • Communication Management - Drafts, edits, and coordinates executive communications, including announcements, reports, and board correspondence, ensuring clarity, professionalism, and alignment with organizational voice; demonstrates sound judgment, effective follow-through, and represents the CEO and organization in a positive, professional manner.
  • Board and Stakeholder Relations - Coordinates preparation of board materials, meeting packets, presentations, and follow-up communications in collaboration with leadership. Tracks and supports the CEO’s engagement with external organizations, committees, and civic responsibilities, prioritizing follow-up needed after every encounter and ensuring its completion. Upholds confidentiality, professionalism, and organizational values in all interactions with board members, staff, and stakeholders. Attends committee or other meetings, preparing minutes for the CEO’s review.
  • Document Preparation - Drafts, formats, and edits various documents, including memos, reports, presentations, and executive correspondence emails ensuring accuracy, clarity, and professionalism.
  • Information Management - Collects, organizes, and maintains critical data, records, and files in a highly accessible and secure manner, both physical and digital. Develops and manages systems for tracking key organizational information, ensuring accuracy and ease of retrieval. Conducts research and compiles data to support executive decision-making, managing confidential information with the utmost integrity and discretion. Provides timely updates and summaries of relevant information to keep the CEO well-informed.
  • Project Support - Assists with planning, coordination, and execution of special initiatives and organizational projects led by the CEO. Monitors project timelines, deliverables, and action items, ensuring accountability and progress toward goals. Facilitates cross-departmental collaboration by communicating updates and aligning efforts with executive priorities. Prepares progress reports, presentations, and status updates. Anticipates potential challenges and proactively offers solutions to keep projects on track.
  • Performs any other duties as assigned by the Executive or other senior staff.

Education & Experience

  • Bachelor’s degree in Business Administration, Project Management, or a related field preferred; equivalent combination of education and experience considered.
  • Minimum of 5 years of executive-level administrative support, preferably in a healthcare organization.
  • Demonstrated experience supporting C-level executives, boards, or senior leadership with complex scheduling, communications, and confidential matters.
  • Exceptional written and verbal communication skills, with the ability to draft and edit professional correspondence and documents.
  • Strong organizational, time-management, and follow-through skills with the ability to manage multiple priorities in a fast-paced environment.
  • High level of discretion, judgment, and professionalism in handling confidential and sensitive information.
  • Advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and virtual meeting platforms (Zoom, Teams).
  • Ability to research, analyze, and synthesize information to prepare briefing materials and reports.
  • Strong interpersonal skills to build effective relationships with staff, board members, donors, and external partners.
  • Proactive, resourceful, and adaptable problem-solver who anticipates needs and takes initiative.
