Medical Secretary - Radiology role at NYU Langone Health. Provides basic support services for Medical Office intake operations, assists with inter-departmental scheduling for patient visits, treatments, and procedures, and obtains pre-authorizations/certifications for treatments and diagnostic procedures. May provide assistance to less senior staff and cover the front desk as needed.

Job Responsibilities

  • Maintains and receives files for area; keeps files organized and up-to-date to facilitate retrieval; completes filing in accordance with departmental procedures.
  • Sorts and distributes documents and forms for area section; distributes materials according to content and departmental procedures; logs materials with respect to time and data when applicable.
  • Processes incoming and outgoing documents; completes forms neatly; secures appropriate signatures and forwards documents/forms to correct destination based on Medical Center procedures; maintains copy for files; faxes documents as required.
  • Provides reception assistance (greet patients, answer calls, direct requests to proper individuals).
  • Screens telephone callers in a professional manner; handles calls, takes messages, or directs callers to appropriate person or area.
  • Schedules routine appointments and follow-ups for visits and procedures that do not require or have already been pre-authorized.
  • Prepares the daily schedule and refers inquiries regarding pre-authorizations/certifications to the Medical Secretary.
  • Maintains supplies and cleanliness of space; restocks supplies as needed; notifies supervisor of any shortage of supplies.
  • May assist, provide guidance and/or train less senior staff with intake-related duties.
  • Prepares simple, routine memoranda, letters, labels, routine manuscripts, correspondence and other documents as needed.
  • Reviews work for accuracy and completeness; maintains routine calendar and assists in basic conference preparation.
  • Maintains workload statistics and other data for departmental records; records statistics in established time intervals designated by supervisor.
  • Follows supervisor instructions and prepares information neatly; primarily responsible for taking patient phone calls and scheduling over the phone; greets and screens calls in a professional manner; schedules appointments for visits, procedures and follow-ups.
  • Collects patient demographic data, electronically verifies insurance eligibility, coordinates pre-authorizations as appropriate, takes medical history, and assigns appointments to physicians based on procedure and insurance coverage.
  • Refers Surgical and Infusion scheduling to Senior Medical Secretary; coordinates inter-departmental scheduling post-appointment for specialist visits, scans, and procedures in accordance with insurance coverage and physician directives.
  • Collaborates with other areas of the Medical Center and Insurance providers to obtain pre-authorizations/certifications for treatments and diagnostic procedures; ensures patient eligibility at the time of appointment; refers to Senior Medical Secretary for scheduling related to Surgery and Infusion.
  • Responsible for pre-authorizations and certifications with the exception of surgical procedures; ensures appropriate procedure and diagnosis coding is used in the pre-certification and verification process and queries physicians when necessary for accuracy.
  • Gathers patient demographic data and materials; obtains insurance information, verifies eligibility electronically, captures patient photo, and directs patients to use Patient Secure; on subsequent visits, verifies and edits demographic information as needed.
  • Collects and has patients sign patient-related documents (HIPAA, MSPQ, ABN, etc.); follows up with patients and/or representatives to gather missing data to complete the intake process; scans necessary documents into the intake system.
  • Monitors intake work queue for timely completion; refers questions regarding insurance coverage or financial matters to the Business Office Associate according to established criteria.
  • Maintains cooperative and professional relationships with physicians, nurses, and office and clinical staff; types routine material neatly and accurately; answers patient questions to ensure understanding and satisfaction, maintaining confidentiality.
  • Performs other related duties as needed by providers and supervisors.

Minimum Qualifications

  • High School diploma.
  • One year of relevant medical clerical experience; prior physician practice experience and knowledge of medical terminology required.
  • Background in computer literacy preferred; light, accurate keyboarding skills required; excellent organizational and interpersonal communication skills.

Preferred Qualifications

Knowledge of computer-based scheduling and appointment programs; excellent telephone skills.

The salary range for the role is $66,290.06 - $66,290.06 Annually. Actual salaries depend on experience, education, and hospital need.
