Position Summary We have an exciting opportunity to join our team as a Medical Secretary-OR Central Scheduling-Day Shift (35 Hours).
In this role, the successful candidate is responsible for providing basic support services for Medical Office intake operations, assisting with post-visit inter-departmental scheduling for patient visits, treatments, and procedures in collaboration with other areas within the Medical Center, and obtaining pre-authorizations/certifications for treatments and diagnostic procedures as appropriate. May provide assistance to less senior staff and cover the front-desk as needed.
Responsibilities
- Maintains and receives files for area in an organized and up-to-date manner; completes filing per departmental procedures; sorts and distributes documents and forms; logs materials with respect to time and data; processes incoming/outgoing documents; secures signatures and forwards documents to correct destinations; maintains copies for files; faxes documents per procedures.
- Provides reception assistance (greet patients, answer calls, direct inquiries) and screens telephone callers in a pleasant and professional manner; takes messages or directs callers as appropriate.
- Schedules routine appointments and follow-ups that do not require or have already been pre-authorized; prepares the daily schedule; refers inquiries regarding pre-authorizations/certifications to the Medical Secretary.
- Maintains supplies and cleanliness of space; restocks as needed; notifies supervisor of shortages.
- May assist, provide guidance and/or train less senior staff with intake duties.
- Prepares simple routine memoranda, letters, labels, routine manuscripts, and other documents; reviews work for accuracy; maintains routine calendar and assists in basic conference preparation.
- Maintains workload statistics and data for departmental records; records statistics at designated times; follows supervisor instructions and prepares information neatly.
- Primarily responsible for taking patient phone calls and scheduling over the phone; greets and screens callers; schedules appointments for visits, procedures, and follow-ups; collects patient demographic data, electronically verifies insurance eligibility, coordinates pre-authorizations, takes medical history, and assigns appointments to physicians based on procedure and insurance coverage; refers Surgical and Infusion scheduling to Senior Medical Secretary.
- Post-appointment, coordinates inter-departmental scheduling for specialist visits, scans and procedures in accordance with insurance coverage and physician directives; collaborates with other areas of the Medical Center and Insurance providers to obtain pre-authorizations/certifications; refers to Senior Medical Secretary for surgery/infusion scheduling.
- Responsible for Pre-Authorizations and Certifications except for surgical procedures; ensures appropriate coding and questions physicians to ensure accuracy in pre-certification and verification.
- Performs other related duties as needed by providers and supervisors.
- Responsible for patient check-in/check-out; gathers demographic data and materials; verifies insurance eligibility electronically; collects and signs patient-related documents (HIPAA, MSPQ, ABN, etc.); follows up to gather missing data or refers to senior staff.
- Scans documents into the intake system; monitors intake work queue for timely completion.
- Refers patients with insurance questions or financial concerns to the Business Office, per criteria.
- Maintains professional relationships with physicians, nurses, and office/clinical staff.
- Types routine materials and writes clearly; maintains confidentiality.
Minimum Qualifications
- High School diploma.
- One year of relevant medical clerical experience, including prior physician practice experience and knowledge of medical terminology.
- Computer literacy; light, accurate keyboarding skills; excellent organizational, interpersonal, and communication skills.
Preferred Qualifications
- Knowledge of computer-based scheduling and appointment programs.
- Excellent telephone skills.
