Medical Secretary, Comprehensive Epilepsy

NYU Langone Health is a fully integrated health system with a strong focus on quality and patient outcomes. This position supports Medical Office intake operations and inter-departmental scheduling related to the Comprehensive Epilepsy program.

Job Responsibilities

  • Provides reception assistance: greet patients, answer calls, direct requests to appropriate individuals, and screen telephone callers in a professional manner; take messages or direct the caller as needed.
  • Perform related duties as needed by providers and supervisors.
  • Manage pre-authorizations and certifications (excluding surgical procedures); ensure appropriate coding is used and verify information for accuracy and completeness.
  • Coordinate post-visit inter-departmental scheduling for specialist visits, scans, and procedures in alignment with insurance coverage and physician directives; collaborate with other areas of the Medical Center and with insurance providers to obtain pre-authorizations/certifications; refer to Senior Medical Secretary for surgery and infusion scheduling as needed.
  • Greet and screen callers, schedule appointments by phone, collect patient demographic data, electronically verify insurance eligibility, coordinate pre-authorizations, collect medical history, and assign appointments to physicians based on procedure and insurance coverage; refer surgical and infusion scheduling to Senior Medical Secretary.
  • Maintain workload statistics and departmental records; prepare and present information neatly as directed by supervisor.
  • Prepare routine documents and assist with basic conference preparation and related duties; review work for accuracy and completeness.
  • May assist, guide, or train less senior staff with intake duties.
  • Maintain supplies and space cleanliness; restock as needed and notify supervisor of shortages.
  • Maintain and organize files; process incoming/outgoing documents; secure necessary signatures and route documents per procedures; maintain copies for records; fax documents following procedures.
  • Answer patient questions to ensure understanding and satisfaction; maintain confidentiality of privileged information.
  • Type routine materials (forms, letters, etc.) accurately and legibly; maintain professional relationships with physicians, nurses, and office/clinical staff.
  • Refer patients with questions about insurance coverage or financial matters to the Business Office, following established criteria.
  • Monitor intake work queue for timely completion; scan and store insurance cards and lab requisitions into the intake system.
  • Responsible for patient check-in/check-out; collect and verify demographic data and insurance information; obtain signatures on patient-related documents; follow up to gather missing data as needed.
  • Schedule routine appointments and pre-authorized visits; prepare daily schedule and refer pre-authorizations/certifications questions to the Medical Secretary.

Minimum Qualifications

  • High school diploma.
  • One year of relevant medical clerical experience, including prior physician practice experience and knowledge of medical terminology.
  • Computer literacy; light, accurate keyboarding skills; excellent organizational and communication skills.

Preferred Qualifications

  • Knowledge of computer-based scheduling and appointment programs.
  • Excellent telephone skills.

Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need.
