Overview

Futani Group is seeking a detail-oriented and organized Office Assistant to join our team. This role provides essential administrative support to ensure smooth daily operations and exceptional customer service in our dynamic construction environment.

Responsibilities

  • Administrative Support: Answer and direct phone calls, take messages, respond to inquiries, greet visitors and clients in a professional and welcoming manner, manage incoming and outgoing mail and deliveries, maintain organized filing systems for project documents, contracts, and records, prepare and distribute correspondence, memos, and reports, schedule appointments and coordinate meetings.
  • Project & Customer Support: Assist with project documentation and permit tracking, coordinate with project managers, subcontractors, and suppliers, process invoices, purchase orders, and expense reports, maintain customer databases and project files, support job scheduling and equipment coordination, handle customer inquiries and provide project updates, assist with basic bookkeeping tasks and data entry, prepare bank deposits and maintain petty cash, support payroll preparation and employee record keeping, assist with insurance claims and documentation.
  • General Office Management: Maintain office supplies inventory and place orders as needed, coordinate office equipment maintenance and repairs, support special projects and events as assigned, ensure compliance with company policies and procedures.

Required Qualifications

  • High school diploma or equivalent required
  • 2+ years of administrative or office experience preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong written and verbal communication skills
  • Excellent organizational and time management abilities
  • Attention to detail and accuracy in all tasks
  • Professional phone manner and customer service skills
  • Ability to multitask and work in a fast-paced environment

Preferred Qualifications

  • Experience in construction, contractor, or related industry
  • Knowledge of construction terminology and processes
  • Familiarity with project management software
  • Associate's degree in business administration or related field

Work Schedule

Monday through Friday, 8:00 AM to 5:00 PM. Occasional overtime during busy project periods.
