Reports to: President & CEO
Mission: Established in 1992, ChildSafe is a nonprofit organization that was created to combat child sexual abuse in our community. Serving as Bexar County’s Children’s Advocacy Center (CAC), we are the only agency to provide a continuum of care—case management, counseling and support services assistance—to child abuse and neglect victims and their non-offending family members.
The goals of the agency and its multidisciplinary partners include the following: Provide child-sensitive medical evaluation and a recorded forensic interview; Ensure the coordination of appropriate and thorough investigation and prosecution of child abuse cases with public and private agencies; Provide crisis intervention and on-going counseling; Provide public education and professional training; and advocate for the child and family during the investigative process.
Essential Functions
Reports directly to the President & CEO and serves as a member of the administrative team. The Executive Assistant provides administrative assistance to the President & CEO and serves as the custodian of all administrative files for ChildSafe.
Responsibilities
- Act as point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Coordinate and manage multiple calendars, schedules and meetings; assist with events as needed
- Make travel and accommodation arrangements
- Maintain all administrative/organizational files for ChildSafe to include: board of directors’ files, CEO working files, and other files as directed.
- Assist Executive Leadership with various grants and applications
- Field telephone calls for the CEO when unavailable or out of the office
- Process invoices, credit cards and check requests for Executive Leadership
- Conduct research as needed to compile data and prepare documents for consideration and presentation to Executive Leadership
- Assist the CEO preparing and disseminating board packets to the board of directors
- Prepare agendas and take minutes during executive leadership and board meetings
- Ensure facility renewals, permits and operational deadlines are met
- Maintain office supply inventory
- Create and order agency business cards and name badges
- Maintain confidentiality in all aspects of client, staff, executive offices and agency information
- Ensures adherence to the core values of ChildSafe (integrity, respect, compassion, commitment and collaboration)
- Other duties as assigned by CEO
Education/Training/Experience
- Bachelor’s Degree from an accredited college. Extensive experience in an executive assistant role will be considered in lieu of a bachelor’s degree.
- Experience in a nonprofit organization, preferred
- 5 years Executive Assistant experience, preferred
- Excellent computer skills and proficient in Excel, Word, PowerPoint, and Outlook.
- Strong verbal and written communication skills
- Excellent people skills, with an ability to partner with a dynamic leadership team.
- Strong attention to detail, including organization and record-keeping
- Flexible and able to multi-task; can work within a fast-moving environment, while also driving toward clarity and solutions;
- Demonstrated resourcefulness in setting priorities and guiding investment in people and systems
Working Conditions/Physical Demands
- General office environment
- Must be able to remain in a stationary position 50% of the time
- Needs to move about the office to access cabinets, files, office machinery including computers, copiers and printers
- Operates a computer and other office productivity machinery (EG: copiers and printers)
- Will seldom ascend/descend ladder to retrieve client files
- Occasionally lifts supplies and support materials weighing up to 30 pounds
- Must be able to communicate well with co-workers, board members and vendors
Hours/Shifts
Full-time, salary/exempt position. After hours and weekends for agency-related activities may be required. Shifts will be established within the following hours of operation:
