Roybal-Mack & Cordova, P.C., a distinguished law firm with affiliate companies, is seeking an experienced and highly motivated Executive Assistant to provide direct support to the Managing Partner & CEO and secondary support to the Chief of Staff. In this role, you will serve as a trusted partner to the CEO and Chief of Staff, managing schedules, communications, and priorities in a fast-paced environment. The ideal candidate is a proactive problem solver with exceptional organizational skills, high emotional intelligence, and the ability to handle sensitive information with absolute discretion. You’ll be responsible for ensuring smooth day-to-day operations while anticipating needs and proactively creating solutions that allow our executives to focus on strategy, leadership, and growth.
Responsibilities
- Manage and maintain complex calendars, scheduling, and priorities for the CEO & Chief of Staff
- Draft, review, and send correspondence and communications on behalf of executives
- Organize, prepare, and follow up on meetings, including gathering documents, drafting agendas, and handling logistics
- Screen and respond to calls, emails, and inquiries with professionalism and sound judgment
- Coordinate travel arrangements and expense reports
- Prepare and edit presentations, reports, and other executive-level documents
- Handle confidential and sensitive information with the highest level of discretion
- Anticipate the needs of the CEO to ensure effective use of time and resources
- Attend and document meetings, ensuring accurate notes and actionable follow-up
- Manage administrative and personal tasks to support executive efficiency
- Perform general office duties, including supply management and inbox oversight
Qualifications
- 5+ years of executive-level support experience
- Exceptional written and verbal communication skills
- Strong organizational, time management, and problem-solving abilities
- Demonstrated discretion and ability to handle sensitive information
- High emotional intelligence and professional demeanor under pressure
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual platforms (Zoom, Teams)
Qualifications (Preferred)
- Associate’s or Bachelor’s degree in Business, Administration, or related field
- 10+ years of executive-level administrative support
- Professional certification (PACE, CAP, CPS, or similar)
- Previous experience in a legal, corporate, or professional services environment
Compensation
$65,000 - $75,000 per year • Medical benefits available • Paid time off and holiday schedule
