Overview
We are seeking a highly organized, proactive, and professional Executive Assistant to support our Chief Executive Officer. This individual will serve as a trusted partner, providing high-level administrative and operational support to enable the CEO to focus on strategic priorities. The Executive Assistant will manage calendars, coordinate key initiatives, prepare executive-level communications, and act as a liaison between the CEO and internal/external stakeholders.
Responsibilities
- Manage the CEO’s daily calendar, including scheduling meetings, appointments, and travel arrangements.
- Proactively anticipate needs and ensure the CEO is well-prepared for all meetings, presentations, and events.
- Draft, review, and manage correspondence, reports, and presentations on behalf of the CEO.
- Serve as a professional point of contact between the CEO, leadership team, clients, and other stakeholders.
- Screen and prioritize incoming communications (emails, calls, requests), ensuring timely and appropriate responses.
- Coordinate executive meetings, including agenda development, logistics, minutes, and follow-up actions.
- Support special projects and initiatives as assigned by the CEO.
- Track and monitor progress on key deliverables, ensuring deadlines are met.
- Conduct research and prepare briefing materials to support executive decision-making.
- Handle sensitive information with the utmost confidentiality and discretion.
- Represent the CEO with professionalism and diplomacy at all times.
Qualifications
Education & Experience
- Bachelor’s degree preferred, or equivalent combination of education and experience.
- Minimum of 5 years of experience as an Executive Assistant, ideally supporting C-level executives.
- Experience in a fast-paced, high-growth, or complex organization is highly desirable.
Skills & Competencies
- Exceptional organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Teams, Zoom, etc.).
- Ability to manage multiple priorities under tight deadlines.
- Strong problem-solving skills with a proactive, resourceful mindset.
- High level of discretion, judgment, and emotional intelligence.
