Overview

We are seeking a friendly and organized Receptionist/Administrative Assistant to join our team. The ideal candidate will be the first point of contact for visitors and clients, providing excellent customer service while efficiently handling a variety of administrative tasks. This role requires a proactive, detail-oriented individual with strong communication skills and a professional demeanor.

Key Responsibilities

Reception Duties:

  • Greet and welcome visitors in a warm and friendly manner.
  • Answer, screen, and forward incoming calls while providing basic information when needed.
  • Maintain the reception area to ensure it is tidy and presentable.
  • Manage visitor sign-in processes and issue visitor badges as required.

Administrative Support:

  • Handle incoming and outgoing mail and packages, including sorting and distribution.
  • Manage scheduling and appointments, coordinating meeting rooms and resources as necessary.
  • Perform data entry, filing, and other clerical duties to support the team.
  • Maintain office supplies inventory by checking stock and placing orders when necessary.
  • Assist with document preparation, including letters, memos, and presentations.

Communication:

  • Act as a liaison between the company and clients, customers, and vendors.
  • Respond to emails, phone calls, and other forms of communication promptly and professionally.
  • Assist with the planning and execution of company events, meetings, and presentations.

Other Duties:

  • Assist various departments with projects and administrative tasks as required.
  • Perform other duties as assigned to support the overall efficiency of the office.

Qualifications

  • High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.
  • Proven work experience as a Receptionist, Front Office Representative, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint).
  • Excellent communication and interpersonal skills.
  • Strong organizational and time-management abilities.
  • Ability to handle sensitive information with discretion.
