A boutique commercial insurance consultancy is seeking a highly organized and detail-oriented Administrative Assistant to support day-to-day operations across more than 70 client accounts.

Candidate MUST have prior administrative or coordination experience in Commercial Property & Casualty Insurance or Personal Property & Casualty Insurance to be considered.

Overview

This role is ideal for someone who thrives in a remote, fast-paced environment and enjoys supporting a small but dynamic team. The ideal candidate is dependable, proactive, and experienced in:

  • Managing digital files and records
  • Working with insurance policies and related documents
  • Handling administrative processes with accuracy and precision

Responsibilities

  • Maintain and organize digital client files in OneDrive and the shared drive
  • Save, update, and name policy documents and correspondence accurately
  • Track client policy renewal dates and assist in marketing policies to multiple carriers
  • Update and format insurance schedules using templates
  • Review insurance policies and create summaries in company standard format
  • Prepare and send year-end client invoices
  • Assist with policy comparisons and routine administrative tasks
  • Support marketing projects and other operational needs as assigned

Qualifications

  • 3 years of administrative experience in an insurance-related setting
  • Strong experience with online filing systems like OneDrive or ShareDrive
  • Proficient in Microsoft Excel and remote collaboration tools like Zoom
  • Able to work independently, manage time effectively, and maintain consistency in work schedule
  • Excellent attention to detail, organizational skills, and written communication
  • Reliable, responsible, and capable of maintaining confidentiality and professionalism
  • Associate’s or Bachelor’s degree is preferred
  • Experience summarizing or processing insurance policies, especially commercial P&C, is a plus
