Billion-Dollar Global Holding Company in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to support three executive-level attorneys on their Legal Team, including the Chief Legal Officer, Chief M&A Counsel, and Chief Labor & Employment Counsel. The person in the role now is relocating to the West Coast, which is why the position is open! Candidates must have a minimum of 3-5+ years of applicable, high-level executive administrative experience, ideally supporting attorneys or working within a legal department (preferred, not required), and a Bachelor’s degree is required.

Ideal candidates should be highly motivated, proactive, extremely organized, thoughtful, efficient, and possess excellent interpersonal and communication skills, a growth mindset, and a sophisticated, mature demeanor. Salary depends on experience (90-125k+ base), plus paid overtime and discretionary bonus eligibility. Excellent benefits, catered lunch, gorgeous offices, etc.! Hours: 9:00am-5:30pm, with flexibility as needed. Hybrid work schedule (In office Monday through Thursday, with the ability to work remotely on Friday).

Responsibilities:

  • Provide high-level executive administrative support to three executive-level attorneys, including the Chief Legal Officer, Chief M&A Counsel, and Chief Labor & Employment Counsel.
  • Schedule and reschedule extensive internal and external meetings, conference/video calls, and appointments; manage and maintain busy and ever-changing calendars.
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
  • Coordinate complex domestic and international travel arrangements and detailed itineraries.
  • Prepare, process, and submit expense reports.
  • Manage correspondence and draft, type, and edit emails and correspondence throughout the day, including ad hoc support outside of business hours, as needed.
  • Develop and maintain electronic filing systems.
  • Assist with preparing PowerPoint presentations and other materials for attorneys’ review.
  • Work in close partnership with other Executive Assistants throughout the office and cross-functionally.

Requirements/Qualifications:

  • Minimum 3-5+ years’ prior experience working in a fast-paced environment and supporting a dynamic executive(s). Prior experience supporting attorneys preferred but not required.
  • Bachelor’s degree required.
  • A meticulous and highly organized individual with impeccable communication skills, both written and verbal.
  • Strong interpersonal skills and the ability to communicate and build relationships with internal and external lawyers, staff, and business partners.
  • Proactive problem solver who thinks ahead and can spot problems quickly, and resolve them or escalate accordingly with the executives.
  • A “roll-up-your-sleeves” mentality and “low-ego” attitude, with the ability to work flexibly, in a fast-paced environment and as part of a collaborative team.
  • Passion for the details and executive support.
  • Proven track record of working independently and as part of a team.
  • Able to handle multiple tasks simultaneously, with sophistication and ease.
  • Demonstrates an intellectual curiosity and continuous drive to improve performance.
  • Demonstrates an openness to constructive feedback and a flexibility to adjust behavior or performance as needed.
  • Prior knowledge of G Suite, including Google Calendar and Google Slides preferred; tech savvy and familiarity with Visio and PowerPoint for basic slide creation.
