Department Introduction: Mail & Package Services (MPS) is a group within Land, Buildings & Real Estate (LBRE) that is responsible for the mail & package programs for Stanford University students. MPS also manages interdepartmental mail, mail codes, and is working towards creating a centralized mail & package program for the rest of Stanford. Job Purpose: The Facility Specialist will oversee daily operations within the Stanford University Newark Warehouse. Core responsibilities include receiving packages from carriers such as UPS, FedEx and Amazon, processing the packages through Stanford’s conveyor belt system, labeling and ensuring timely delivery to the Stanford campus, and answering customer service tickets. This is an on-site role requiring the Facility Specialist to report to the warehouse five days a week. This position is located at the Stanford University Newark Warehouse in Newark, CA (Alameda County). Core Duties: Warehouse Operations: Work with supervisor to coordinate scheduled PMs for the conveyor, vehicles and equipment. Troubleshoot issues with equipment, and call vendor for maintenance and repairs, if needed.

Responsible for overseeing the daily cleaning of the conveyor and warehouse space.

Notify Facility Managers for any maintenance and repairs needed at the Newark warehouse building.

Manage maintenance, materials, and supply budget.

Coordinate space management and planning activities including: analyzing moves for minimal disruption; move coordination; space inventory; space allocation tracking; specifying set-ups; maximizing space utilization; providing input into facilities renewal model; and capital plan implementation (as assigned).

Staff Management: Work with facility managers to supervise the daily activities of contracted warehouse staff, and oversee activities of delivery drivers and carriers.

Inventory Management: Oversee all Stanford packages at the warehouse, ensuring they are tracked and delivered to the end users or returned to the sender in a timely manner.

Process Improvement: Identify opportunities for process enhancements to increase efficiency.

Logistics Coordination: Manage inbound and outbound shipments.

Safety: Ensure compliance with safety standards.

Education & Experience: Bachelor’s degree and three years related, demonstrated facilities management experience, or a combination of education and relevant experience. 3-5 years’ experience in warehouse and package logistics, preferred.

Knowledge, Skills and Abilities: Strong leadership skills.

Excellent organizational and problem-solving abilities.

Proficiency in warehouse management software.

Ability to coordinate daily activities including work scheduling, quality assurance, program validation, monitoring of maintenance activities, and supervision of personnel.

Certifications and Licenses: Must possess and maintain a valid California non-commercial Class C Driver’s License.

Must possess and maintain a valid forklift certification.

Physical Requirements: Ability to obtain and maintain a California Non-commercial Class C Driver’s License.

Ability to drive day or night.

Ability to obtain and maintain a forklift certification.

Ability to lift/carry/push/pull objects that weigh up to 50 pounds.

Capable of standing and walking for extended periods.

Working Conditions: Requires 24-hour response availability seven days per week for emergency situations.

May be exposed to noise > 80dB TWA.

May working at heights 4 - 10 ft.
