Job Title: Administrative Assistant
Department: Medicine | Radiation Oncology
The Administrative Assistant will function as a Coordinator of Faculty Affairs, coordinating and implementing administrative and operational activities of the faculty affairs office for the Department of Radiation Oncology. This includes planning, coordinating, and facilitating faculty affairs for 50+ clinical and tenure track faculty, serving as primary contact for departmental AP&T (Appointment, Promotion and Tenure) process, and creating and managing a centralized office dedicated to the faculty A,P&T processes and requirements.
Key responsibilities include:
- Developing and maintaining AP&T tracking system
- Facilitating faculty development process and faculty success and mentorship program
- Coordinating and overseeing cyclical faculty affairs processes
- Reviewing and monitoring faculty review dates to maintain awareness of mandatory review dates
- Facilitating P&T discussions and voting at faculty meetings
In addition to faculty affairs, the Administrative Assistant will assist in management and maintain administrative calendars of chairs office, facilitate all aspects of prompt high-level patient care, process local, national and international travel requests and reimbursements, and assist and support Department Chair and Department Administrator with administrative operations including human resources, procurement and fiscal activities.
The ideal candidate will have excellent organizational and communication skills, with the ability to work in a fast-paced environment and prioritize multiple tasks.
