Job Responsibility
Position: Counseling Center Secretary, Unionville High School
Schedule: 7 hours per day, 185 days per year; 10-month position; Benefits eligible
Salary: $17.10 - $17.50 per hour
Position Summary: Provide primary support to School Counselors. Assist students of Unionville High School with college applications, scholarships, and financial aid. Assist Social Workers and School Psychologists in a secondary capacity.

- High School Diploma or equivalent with training in business/secretarial field; Associate's or Bachelor's degree preferred
- Power School experience helpful
- Advanced Skills with Word, Excel, e-mail, and Google cloud-based technology
- Excellent time management skills; ability to prioritize work and deliver organized projects on time
- Reliability to handle confidential and sensitive information with high level of discretion
- Superior organizational skills; ability to handle frequent interruptions
- Excellent written and verbal communication skills are required, including telephone skills
- Knowledge of office procedures & ability to use equipment

Essential Duties
Employee must have the ability to perform the following essential functions on a timely basis with or without reasonable accommodations. To successfully perform this position, a person must be able to perform each essential duty satisfactorily.
- Calendars: schedule appointments, distribute passes, and arrange all conferences for all grades; use Calendly
- Process college applications, update Naviance with transcripts and college decisions
- Maintain and file permanent records (including standardized test scores)
- Complete registrations and withdrawals paperwork; update Naviance and PowerSchool
- Greet students and track sign-in/out of Counseling Center on Chromebook
- Respond to emails and calls, take messages, maintain phone log
- Coordinate escorts for counselors, social workers, school psychologist, and IST coordinator
- Schedule conference room use and some facility reservations
- Provide secretarial support for counselor presentations and events
- Provide and track all transcript requests from current students and graduates
- Filing is critical to keep student records accurate
Detailed Duties
- Coordinate fall visits from college representatives (Naviance/RepVisit); arrange meeting areas; track sign-ups and attendance; maintain college representatives list
- Manage scholarships: sponsor contacts, scholarships database, applicant preparation, advertisement, and Senior Awards Night preparation
- Financial Aid: one-on-one counseling with students/parents; attend workshops; monitor trends; participate in webinars
- Plan and host annual PHEAA Financial Aid Night
- Support Senior Awards Night: coordinate scholarships, manage presenters, and facilitate the event
- Maintain Leadership Programs information (HOBY, RYLA, PFEW, Mercy College of Business, CCYL, etc.)
- Publicize department information via Daily Bulletin, Studio 750, and Naviance
- Prepare and maintain annual Required Senior Survey for post-graduate reporting to PA Department of Education; update Naviance and in-house scholarships
- Provide end-of-year reports to Department Chair for next year’s School Profile
- Assist in registering new students and ensuring records are complete; coordinate with District Registrar; set up technology logins in PowerSchool, Naviance, Canvas; schedule counselor appointments for course selection
- Assist Testing: AP, PSAT; prepare signage; gather supplies; reserve testing space; cover counselors during AP breaks
- Assist in processing TCHS applications; arrange transportation and shadow opportunities
- Schedule shadow days and tours for interested students/parents; verify emergency forms and contact information
- Order supplies; maintain bulletin boards/notebooks; manage student forms and testing rooms
- Order and maintain SAT/ACT testing materials
- Withdraw students: provide forms, update PowerSchool, retrieve books/Chromebooks, send records
- Monitor UHS website; notify staff of changes
- Other duties as assigned
