Job Summary

NATURE OF WORK Under general supervision performs work of moderate difficulty in a variety of legal secretarial and office duties. This position has department specific responsibility.

Example of Work Prepares, formats, types and processes confidential letters, memoranda, and sensitive legal documents for the review, approval and use by an attorney; files legal documents with the appropriate court or entity; develops and maintains office records within department; checks and evaluates legal case files for needed information or documents and processes requests to Juvenile Court and law enforcement agencies; receives and processes in-custody referrals from the Juvenile Court; prepares in-custody charging documents and files with court within statutory time limits for 24 hour hearing; processes juveniles who are detained on bench warrants to include charged case and probation violation warrants; tracks and processes cases for juvenile's ageing out that have criminal charges pending that cannot be handled in Juvenile court; submits cases to appropriate adult agency; receives and processes new cases from Juvenile Court and distributes to appropriate staff; receives, processes and distributes disclosure information to attorneys; responsible for opening and closing cases and follows up on cases to ensure timely progress; assists with contacting court personnel and other law enforcement agencies to assist clients and to obtain information; collaborates with other divisions and agencies with information requested pertaining to juvenile cases; maintains updated and current information pertaining to assigned department and files utilizing in house system; processes and logs incoming correspondences and court documents and directs them to the proper location; prepares, tracks and maintains specialty court files to include Juvenile Drug Court; processes declined cases; prepares and sends case notifications to victims, Juvenile Court and law enforcement agencies; maintains absolute confidentiality of juvenile case and victim information; provides standard secretarial support to other support staff and attorney's as needed; regular and reliable attendance is required; performs other duties as assigned.

Experience and Education High School Diploma or GED equivalent; AND two (2) years of experience as a legal secretary including; one (1) year of juvenile law education or Superior Court experience; ORthree (3) years of progressively responsible experience in secretarial of office work; OR an equivalent combination of education and experience. Requires successful completion of a background check. Must possess and maintain a valid Arizona driver's license.

Knowledge, Skills and Abilities Knowledge of: legal principles and procedures; Arizona civil and criminal law and judicial procedures; legal terminology and forms; general office practices and procedures; Juvenile Justice Court procedures; Juvenile law. Skilled in: use of the English language, including spelling, punctuation and grammar; preparation of documents and reports; operating various office equipment and word processing; creating and maintaining files; taking and recording notes; meeting and dealing effectively and tactfully with public; establishing and maintaining effective working relationships with employees, other agencies and the public; prioritizing work assignments to meet time constraints; maintaining confidentiality; communicating clearly and concisely, both verbally and in writing. Ability to: effectively respond to phone calls, emails and complaints in a timely manner; plan, prioritizes, manages and responds to multiple assignments in a fast-paced environment; read, write, research, synthesizes data and detailed reports; use modern office equipment and computers; communicate effectively verbally and written; establish and maintain effective working relationship with co-workers; perform the essential functions of the job specifications with or without a reasonable accommodation; ability to lift up to 5 - 25 lbs.

Working Environment: The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity; generally the job requires 60% sitting, 20% walking and 20% standing; working at a computer monitor for extended periods required; the job is performed under minimal temperature variations and in a generally hazard free environment.
