Overview / Department Context The Phelps Administrative Support Center (PASC) at the University of California, Santa Barbara (UCSB) provides administrative services for faculty and students in several departments. This position is responsible for financial matters and events for the departments and programs in PASC, ensuring that the mission and goals of each department are met with attention to detail and effectiveness. We value diversity in expertise, backgrounds, needs, and experiences.
Responsibilities
Under the direction of the Financial and Events Manager, manage financial matters and processes for the departments and programs served by PASC, including the PASC Departmental Operating Budget.
Manage payroll reconciliation, audit general ledgers, project and monitor expenditures across all funding sources, and ensure data integrity and compliance with policies.
Interpret policy and advise faculty, staff, and students on university guidelines for personnel, purchasing, entertainment, events, and travel.
Participate in fiscal closing, budget projections, and financial planning; administer and coordinate employment activities and processes via the UCPath System; support Kronos timekeeping setup.
Serve as primary UCPath initiator for staff and selected academic appointments; ensure proper employee setup and funding entries; train staff on Kronos and UCPath; maintain confidential personnel files.
Maintain knowledge of university policies on Accounting, Travel, Purchasing, and Business Services across fund sources.
Collaborate with campus units and communicate effectively with faculty, staff, students, and other personnel.
Qualifications
Required: Bachelor's Degree in a related area and/or equivalent experience/training.
1-3 years working knowledge of financial processes, policies, and procedures.
1-3 years proficiency in spreadsheet and database software.
Detail-oriented with a high degree of accuracy.
Strong interpersonal skills, service orientation, active listening, critical thinking, good judgment, and decision-making.
Analytical skills to conduct analysis and develop recommendations for unit management.
Ability to function effectively as a team member and interact professionally with a wide range of campus units.
Preferred Qualifications
Solid knowledge of Kronos, Concur, and Procurement Gateway.
Experience with a financial shadow system, online time-keeping system (prefer Kronos), Concur, and online purchasing system (prefer Gateway).
Strong knowledge of financial data management and reporting systems.
Ability to apply and interpret campus and system-wide personnel policies and procedures.
Ability to manage multiple tasks in a high-volume environment with interruptions.
