Overview : Yale’s Transportation department, comprised of Transit Operations and Fleet Management, supports the University’s mission on three campuses, with tentacles that span Yale New Haven Hospital and the VA Hospital.
Yale’s transit system operates year-round, seven days a week, providing comprehensive transportation services across multiple shuttle lines, accessible transit options, and charter services for special events such as commencement. The system accommodates over 800,000 passengers annually. Transit Operations encompass the accessible transit program, which serves more than 300 community members with disabilities, requiring detailed coordination to address a wide range of individual mobility needs.
Fleet Management oversees nearly 500 university-owned vehicles, handling procurement, compliance (e.g., DOT regulations), maintenance reconciliation, GPS monitoring, fuel management, parking violations, emissions testing, and lease agreements.
Position Focus : The Transportation Operations Manager oversees the day-to-day delivery of transportation services to ensure optimal efficiency and compliance with contractual obligations. This position ensures uninterrupted, high-quality service, and proactive resolution of operational challenges, supporting the department’s commitment to safety and customer satisfaction.
Essential Duties :
Manage shuttle schedules, passenger counts, service quality metrics, charters, and community communications.
Support Fleet Management by coordinating vendors (e.g., Holman Maintenance), enhancing DOT compliance processes, vehicle registration processes, updating Collective Data with updates in the vehicle inventory.
Contract Monitoring: ensure adherence to service agreements with vendors such as TransDev, Downtowner, US Government, Holman, Wex CD, and Hocon.
Address bottlenecks in both transit and fleet operations as they arise.
Required Skills And Abilities : Bachelor's Degree in a related field and four years of related experience or an equivalent combination of education and experience.
Required Skills :
Proven proficiency in Microsoft word, excel, and outlook, with a strong ability and willingness to learn new systems.
Exceptional verbal, written, and interpersonal communication skills.
Demonstrated ability to take initiative and follow up on emails and issues in a timely manner.
Strong organizational skills with the ability to manage multiple spreadsheets and lists simultaneously.
Meticulous attention to detail, ensuring accuracy and thoroughness in documentation and communications.
Principal Responsibilities :
In support of the overall mission, plans, directs, and oversees programmatic activities.
Oversees the development of detailed plans and successful implementation of projects in concert with stakeholders.
Works closely with business analysts, technical professionals, end users, and project stakeholders during the requirements, solutions design, and implementation phases to develop detailed project plans for implementation.
Works on risk assessment, communication planning, development of performance metrics, and project entry criteria.
Creates detailed project plans, including timelines, budgets, and resource allocation, to ensure the successful completion of the project.
Manages client expectations and provides issue/risk identification and escalation pathways.
Analyzes user needs and proposes new training programs or systems.
Designs, develops, and executes communication systems to ensure effective exchange of information between project stakeholders, senior management, and staff.
Resolves complex project issues that involve representatives from multiple organizations.
Complies with standard policies and procedures.
