Responsibilities

Outreach and Networking This position is responsible for the development of corporate engagement strategies to promote the programs under the supervision of the Director of the UF CISE @ JAX. A critical aspect is developing corporate contacts to raise awareness and motivate interest in the program. This requires personal contact with human resources personnel and/or technical managers, including visits to corporate sites, and the organization and presentation of information sessions at remote locations that attract potential applicants, human resources personnel, and/or technical managers. Frequent travel throughout the state is required.

Promotes alumni relations and fosters networking opportunities among program participants and with graduates; also, acts as liaison for students/alumni with potential employers, as well as with the Career Resource Center.

Plans and coordinates various special events for students, including new student orientation, graduation-related events, and end-of-semester events. Event coordination includes selecting and securing an appropriate facility, planning, and ordering catering services, negotiating prices, preparing and distributing invitations, maintaining counts of expected attendees, representing the program at events, and coordinating payments (via PCard or PO).

Application Processing and Admissions related Responsibilities This position advises and guides prospective students in completing applications and ensures timely and accurate processing of confidential materials. Establishes and maintains contact with potential applicants, screens for admissibility, and encourages applications when appropriate. Follows up with prospective students and assists with application forms and procedures. Evaluates submitted materials for completeness and conducts interviews (in person or by telephone). Compiles application files and the summary report for the CISE Admissions Committee and facilitates the review cycle, including deadlines and reminders. Processes decision letters and obtains required signatures through DocuSign. Also advises and counsels admitted students and collaborates with the Office of Admissions and the Graduate School to resolve issues.

Program Management Develops and recommends policies pertaining to the Jacksonville Engineering Management program under the Director, and interprets/implements educational and administrative policies and regulations; ensures compliance with applicable rules for non-traditional program offerings.

Monitors revenues and expenditures, including calculation of student program fees, invoicing and account recordkeeping for student fees. Monitors payments and may enforce deadlines and payment collection. Provides invoices and receipts to students and maintains confidential student account records.

Performs fiscal activities including planning and processing travel for faculty and TAs, making PCard purchases, processing purchase orders, and monitoring invoice payments. Fosters vendor relations and facilitates vendor access to the UF system for billing, when applicable.

Functions for the Program Director in their absence, as required.

Student Services Plans and implements all program events (monthly class meetings, study sessions, orientation, graduation events, and networking-focused social receptions). Provides services for enrolled students, including class registration holds resolution, generating confidential grade reports for employer/sponsor reimbursement, coordinating catering, facilitating student access via swipe card system, inputting textbook adoptions, organizing course materials, and adding resources to the UF Library Course Reserves system. Facilitates faculty evaluations and distributes course/student information to instructors. Coordinates orders for student regalia, Gator1 cards, course packets, badges, and nameplates. Serves as a liaison with the broader university community (Graduate Admissions, Registrar, Bursar, Athletic Ticket Office, Financial Aid, Veteran’s Affairs) and assists instructors with eLearning sites and travel arrangements as needed.

Expected Salary Salary is commensurate with education and experience

Required Qualifications Master's degree in an appropriate area and four years of relevant experience; or a bachelor's degree in an appropriate area and six years of relevant experience.

Preferred B.S. or M.S. or Ph.D. degree in Computer Science.
