Cohen Seglias is seeking an experienced Litigation Administrative Assistant to join our team. The position provides direct administrative support to assigned attorneys, ensuring efficient and timely completion of tasks. The ideal candidate will be a collaborative team player who is comfortable working in a fast-paced legal environment and supporting colleagues with overflow and providing backup as needed. The successful candidates will have 5+ years of heavy litigation experience, including extensive e-filing knowledge, and must demonstrate strong proficiency with legal technology and document management systems – iManage experience is strongly preferred. Responsibilities:

Provides comprehensive administrative support to assigned attorneys. Finalizes legal documents including correspondence, pleadings, and motions. Drafts cover letters and routine correspondence. Proofreads documents for accuracy, grammar, formatting, and consistency. Revises documents as directed by attorneys. Handles extensive eFiling in D.C., Maryland, Virginia and Federal Courts. Coordinates faxing, copying, and mailings, ensuring all exhibits and attachments are included. Performs heavy document management in iManage, including uploading physical and electronic documents and emails (correspondence, pleadings, etc.). Formats legal briefs and inserts Table of Authorities and Table of Contents. Edits PDFs extensively—combine documents, insert exhibit cover pages, signatures, and apply other formatting edits as needed. Maintains and manages attorney calendars using the firm’s calendaring software, including court dates, meetings, appointments, and legal deadlines. Reviews all incoming correspondence and pleadings to calculate and calendar court and discovery deadlines. Maintains organized case files in iManage. Updates firm systems with case party information, including representation and contact details. Handles financial tasks: prepares expense reimbursements, codes charges on attorney(s) credit cards, submits check requests, and records court filing payments made with firm credit cards. Opens new client matters by following firm procedures, including conflict checks, engagement letters, and intake forms. Prioritizes and multi-tasks assigned duties to ensure timely completion. Adheres to all firm Standard Operating Procedures. Skills/Knowledge Requirements:

Strong computer proficiency, especially with Microsoft Office 365 (Word, Outlook, PowerPoint, and Excel). Prior experience using document management systems and docketing software. Excellent written and verbal communication skills. Strong attention to detail with solid proofreading abilities. Effective organizational skills and the ability to manage multiple tasks and deadlines. Ability to interact professionally with all levels of attorneys, staff, and external contacts. Education/Experience Requirements:

High School Diploma or equivalent required. Associates degree preferred. Minimum of 5 years of experience as a legal administrative assistant within a Law Firm, including litigation experience.
