About the Role We're seeking a Sales Operations & RFP Manager who thrives in a fast-paced, mission-driven startup environment. This role is critical to scaling our go-to-market engine—optimizing sales systems, managing the HubSpot CRM, and driving our end-to-end RFP strategy and execution. The ideal candidate combines operational excellence with persuasive communication, has experience working in a high-growth SaaS or healthcare tech company, and enjoys wearing multiple hats while building from the ground up.
Key Responsibilities Sales Operations
Own and optimize the HubSpot CRM, ensuring clean data, well-defined pipeline stages, workflow automation, reporting dashboards, and integrations with other key systems (e.g., finance tools, marketing automation).
Collaborate cross-functionally with Sales, Finance, Product, and Marketing to streamline quoting, forecasting, lead management, and deal-tracking processes.
Create and maintain sales enablement resources, including pitch decks, pricing calculators, proposal templates, and objection-handling materials that empower the sales team to close more effectively.
Design and implement scalable sales processes and infrastructure to support current operations and future growth, with a focus on operational efficiency, deal velocity, and pipeline health.
Track and analyze sales performance metrics to surface insights and recommendations that help leadership make data-informed decisions and continuously improve team performance.
RFP Strategy & Writing
Lead the full lifecycle of RFPs, RFIs, and RFQs—from intake and bid/no-bid decisions to final submission—by partnering with Sales, Product, Compliance, Legal, and Leadership.
Write, edit, and format clear, persuasive, and compliant responses tailored to each opportunity, highlighting the company’s value proposition in alignment with customer needs and evaluation criteria.
Build and maintain a dynamic content library of pre-approved RFP responses, company overviews, security questionnaires, and case studies to improve consistency and speed of submissions.
Track win/loss data and feedback from prospects to refine messaging, improve submission quality, and inform overall go-to-market strategy.
Proactively identify and manage proposal timelines, ensuring submissions are completed accurately and on time, often juggling multiple deadlines simultaneously.
Qualifications
5+ years of experience in Sales Operations, Proposal Management, or a hybrid GTM role, preferably within a high-growth SaaS, healthcare tech, or digital health company.
Deep knowledge of HubSpot CRM and a proven track record of building and maintaining scalable workflows, dashboards, and automation (HubSpot certifications are a plus).
Exceptional writing and communication skills, with experience developing compelling, customer-facing content under deadline pressure.
Demonstrated experience managing complex RFP processes, ideally in the healthcare, government, or enterprise space, with familiarity navigating security, compliance, and procurement requirements.
Proficiency in sales performance analysis and ability to build reporting infrastructure from scratch (Excel/Google Sheets, HubSpot reporting, and/or BI tools).
Strong project management skills with the ability to prioritize effectively, manage competing deadlines, and keep cross-functional teams aligned.
Collaborative and resourceful, with a builder’s mindset and the ability to operate independently in a fast-changing, ambiguous environment.
Experience with healthcare industry RFPs and knowledge of HIPAA, HITRUST, and enterprise compliance requirements is strongly preferred.
