Under the direction of the Associate Director of Academic & Administrative Affairs, the Manager of Faculty and Administrative Affairs in the Surgery, Orthopaedics and Anesthesiology Integrated Business Office serves as a strategic partner to departments affiliated with the integrated surgical specialties business office (IBO). This position ensures that high-quality faculty, postdoctoral, staff and credentialing support for the department is delivered in advancement of the overall mission. This role works with departmental and YSM leaders to manage all faculty, postdoctoral, visa processes, staff recruitment for the department and collaborates with Yale Medicine and Yale New Haven Hospital in the credentialing process. This position is responsible for the management, guidance and supervision of faculty affairs support staff and for the overall office of faculty & administrative affairs in the IBO. The manager will partner with division administrators and business office staff to collaborate on department processes, troubleshooting and act as needed. Takes initiative to create opportunities to enhance the image and value of the IBO. This role interfaces directly with the Senior Director and departmental leadership. This position will work with Faculty Affairs, the Office of Academic and Professional Development, the Postdoctoral Affairs Office, and HR Business Partner to develop processes and address performance or employment issues consistent with University guidelines, policies, and procedures. May serve as the department’s point of contact to/from service providers related to faculty, staff and postdoctoral/postgraduates to help troubleshoot issues where needed. Base pay range
$68,000.00/yr - $120,500.00/yr Responsibilities
Reviews and determines staffing needs, job posting requirements, salary guidelines, and labor‑agreement interpretations for exempt and non‑exempt staff in one or more functional departments. Manages administrative support needs for exempt and non‑exempt staff and provides recommendations, improvements, solutions and assistance as needed. Manages and monitors technology needs, conducts inventory, and defines system requirements for the assigned departments. Develops and prepares budgets, financial forecasts, and financial analyses including actual vs. budgeted performance for the departments. Manages use of facilities, office space, equipment, and office supplies. Manages administrative support for activities of one or more departments to ensure timely completion of projects. Coordinates training sessions for assigned departments when new policies or practices are adopted. Ensures compliance with University and federal regulations as they apply to the assigned departments. Identifies, plans, and develops administrative policies for the assigned departments. Assists in reviewing and implementing University and departmental policies related to administrative functions. Assesses and makes recommendations regarding staff development and staffing levels. Monitors and conducts systematic research on user requirements through surveys, interviews, focus groups, and competitive analysis. Manages a staff of exempt and non‑exempt employees. Performs other duties as assigned. Qualifications
Required Education and Experience
Minimum requirement of Bachelor’s Degree in related field and three years of related experience or an equivalent combination of education and experience. Required Skills and Abilities
Academic or healthcare experience. Demonstrated experience in either human resources or faculty affairs. Well‑developed interpersonal skills with the ability to form strong business relationships with faculty, staff, leadership and other stakeholders. Demonstrated organizational, planning, decision‑making and problem‑solving skills; ability to frame a problem, identify solutions, develop a plan of action, build teams and evaluate effectiveness. Proven written and verbal communication skills. Strong organizational skills with the ability to prioritize and multi‑task. Demonstrated ability to manage deadline‑driven complex Faculty/Staff Affairs. Strong proficiency with Microsoft Word, Excel, PowerPoint and Outlook. Preferred Skills and Abilities
Experience with reporting systems (e.g., Workday). Experience with faculty recruitment processes/activities (RFP, RPT, Interfolio, advertising, search committees). Job Details
